Background

The post is located in the WIPO Algeria Office in Algiers.  The WIPO Algeria Office is part of the network of WIPO External Offices and forms an integral part of the Organization, under the supervision of the Deputy Director General for Regional and National Development. It works closely with all WIPO Sectors and work areas to contribute to the realization of the Strategic Goals of WIPO and to implement relevant Expected Results in Algeria.  As such, the WIPO Algeria Office supports WIPO cooperation and services in Algeria and in doing so, will add clear value, efficiency and effectiveness to program delivery and respond to specific needs. 

The incumbent is required to carry out a range of general administrative and office support functions. 

The incumbent works under the supervision of the Office Director. 

Duties and Responsibilities

The incumbent performs the following tasks:

(a) Provides administrative support for program implementation activities, liaises with organizational units at headquarters to initiate requests, obtains necessary clearances, processes and follows up on administrative actions.

(b) Compiles, summarizes and presents general information on program and related issues;

(c) Responds to general information requests and inquiries concerning the activities of the WIPO Office in Algeria and WIPO;

(d) processes user inquiries received through the customer service and forward more complex issues to supervisor for follow up.

(e) Provides administrative and logistical support to seminars, workshops, conferences, symposia and training programs (including preparing budgets, arranging travel, drafting administrative correspondence, preparing relevant documentation).

(f)  Drafts administrative correspondence and process administrative forms using the related software and office tools.

(g)  Provides informal translation of general correspondence.

(h)  Monitors status of activities under funds in trust allocated to WIPO by Algerian institutions and compiles data for the preparation of periodic reports on status of funds in accordance with established financial rules; prepares related administrative correspondence and forms.

(i) Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate area inside and outside WIPO.

(j) Performs general administrative tasks and other related duties as required.

Required Skills and Experience

Education:

  • Completion of secondary education with relevant diploma.

 

Experience:

 At least four years of relevant work experience.

  • Experience in administration or programme support service would be an advantage. 
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc.). Experience in handling of web-based management systems.
  • Prior experience with WIPO, UNDP or other UN Agencies would be an asset.

Language Requirements:

  • Excellent knowledge of written and spoken Arabic and French.
  • Fluency in English (both oral and written) is required.
  • Knowledge of additional United Nations official language is an advantage.
