International Potato Center POSITION ANNOUNCEMENT

Ref.: N-21-22 AA/NRS/India ADMINISTRATIVE ASSISTANT II The International Potato Center (CIP) is seeking a dynamic and results-oriented Administrative Assistant to

support the research team for the implementation of the project: “Seed Secure Meghalaya: Establishment of low-cost formal and informal potato seed production system to enhance food security and income generation” in Meghalaya, Shillong.

The Project: “Seed Secure Meghalaya: Establishment of low-cost formal and informal potato seed production system to enhance food security and income generation” project is implemented by the Meghalaya Basin Management Agency (MBMA) and funded by the International Fund for Agricultural Development (IFAD). CIP’s engagement is to provide technical backstopping, innovations, and capacity building along the entire potato seed value chain to increase its productivity, and improve the livelihoods of small-scale andmarginalfarmers, CIP will work in close collaboration withMeghalaya StateGovernment particularly Department of Horticulture, MBMA, CPRS, Shillong and private sector partners. About the role:

The objective of the position is to assist and support the office in a wide range of administrative tasks and general duties of highresponsibility and confidentialitynature to guarantee smooth flow andeffectiveness of the office. This position will be based at Shillong, Meghalaya.

Key responsibilities:

• Organize and maintain updated the office/project official correspondence, memos and electronic communications to follow up on pending matters with limited direction

• Provide logistical and technical support to projects in administrative issues. • Assemble and draft documents, such as contracts or reports, requiring the integration of information from multiple sources and application of office technology and software, often of a highly technical and/or confidential nature, to ensure availability and accuracy of draft documents • Coordinate and update the events calendar of office/project’s members to maintain informed about staff activities.

• Receive and screen telephone calls, letters, e-mails and/or visitors for the office/project’s to prioritize members’ attention and provide a professional impression.

• Coordinate and manage supply chain and resource requirements to maintain an adequate level of office supplies and good functioning of equipment.

• Provide administrative support in the formulation of the office/project’s budget,operational plans and related policies and procedures to facilitate office/project’s planning function. • Oversee and keep track of office/project’s budget and overall expenses to guarantee that all charges matched and coordinate with finance when needed.

• Coordinate national and international trips and provide assistance to the office/project’s members toensure allthearrangements(travelandlodging)andtravelmattersarebeingfollowedcorrectly. • Keepupdatedandorganizedadministrativepapers,suchasprogram’spublicationsandtripsreport to maintain the office/project’s database accurate.

• Support the recruitment processes and coordinate the orientation programs of new staff. • Comply with national and international health and safety laws, regulations and standards What are we looking for?

• Technical or bachelor’s degree in secretarial administration.

• At least three years of experience in a similar positions.

• Excellent skills in handling office technology and software applications.

• Good writing and reporting skills.

• Ability to organize department activities and processes.

• Advanced written and oral communication skills in English.

• Experience of handing filed trials will be taken as added advantage.
