IFC is seeking Program Assistant, based in Amman, Jordan, to provide proactive administrative and operational support, ensuring seamless execution of projects in the Middle East, Central Asia, and Turkey region. This pivotal role enhances IFC’s strategic impact by fostering collaboration, streamlining processes, and empowering teams to deliver innovative solutions that drive private sector development and economic growth.
Role Responsibilities:
• Provide high-level administrative support to CMEJA leadership and missions, including managing schedules, coordinating meetings, and ensuring timely follow-up on action items.
• Organize and maintain program documentation, ensuring accuracy, accessibility, and compliance with IFC standards and procedures.
• Coordinate logistics for internal and external events, including workshops, conferences, and stakeholder engagements, ensuring seamless execution.
• Monitor and track program deliverables, deadlines, and budgets, providing regular updates to the team and flagging potential risks or delays.
• Serve as the primary point of contact for inquiries related to CMEJA programs, ensuring prompt and professional communication with internal and external stakeholders.
• Prepare high-quality correspondence, presentations, and reports, ensuring alignment with IFC branding and communication guidelines.
• Support procurement processes by liaising with vendors, drafting contracts, and ensuring compliance with IFC procurement policies.
• Facilitate cross-functional collaboration by maintaining effective communication channels between CMEJA and other IFC departments.
• Proactively identify opportunities to improve operational efficiency within CMEJA, recommending and implementing solutions as appropriate.

Selection Criteria
• High school diploma or equivalent required; additional certifications or coursework in business administration, finance, or a related field are preferred. A bachelor's degree is strongly preferred.
• Minimum of 7 years of experience in administrative or executive assistant roles, ideally within international organizations, financial institutions, or development-focused entities.
• High level of discretion and professionalism in handling confidential information and sensitive matters.
• Proactive problem-solving abilities, with a demonstrated capacity to anticipate needs, identify solutions, and adapt to evolving priorities.
• Demonstrated proficiency in managing complex calendars, coordinating travel arrangements, and organizing high-level meetings with multiple stakeholders.
• Advanced technical skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with enterprise resource planning (ERP) systems or other organizational tools.
• Strong written and verbal communication skills, with the ability to draft professional correspondence, reports, and presentations in English and Arabic; additional language skills are an asset.
• Proven ability to prioritize tasks, manage competing deadlines, and maintain attention to detail in a fast-paced, dynamic environment.
