The Internship Programme is a learning opportunity aimed at attracting young and talented candidates. The programme will provide the successful candidates with the opportunity to put into practice and implement their learned and academic knowledge in a field related to the work of WFP. This will promote better understanding of WFP Kenya mandate and programmes. Similarly, the programme will provide WFP with qualified individuals specializing in relevant fields in line with WFP’s Strategic Objectives and the UN Sustainable Development Goals.

 

WFP’s activities include food assistance for relief, school feeding, safety nets, nutrition, and food assistance for assets creation through provision of in-kind and cash-based transfers. You will be part of an efficient and dynamic team that effectively support in the implementation of WFP’s country strategic plan for Kenya.

JOB PURPOSE

 

The shipping unit in the port of Mombasa comprises of a team with good experience and expertise in shipping industry. The team has dynamic skill set to navigate the complex landscape of the shipping industry and contribute to the effective and efficient management and functioning of shipping/ port operations in Mombasa/ LAMU ports.

 

The intern will play a vital role in contributing to enhancing effective and efficient functioning of the shipping unit, bringing a combination of fresh perspectives, skills, and enthusiasm to the team. His or her presence will contribute to a dynamic and innovative working environment, benefiting both the interns and the organization.

 

The intern will be trained mainly on reporting and shipping records management e.g., Mombasa shipping operations dashboard and jointly analyse shipping unit data with the intern to come up with relevant Mombasa shipping operations reports using technology and innovations. As well, coming up with an electronic(paperless) system of filing of shipping records (documents/ correspondences).  

 

KEY ACCOUNTABILITIES (not all-inclusive)

 

Under direct supervision of the Logistics Officer or delegated authority the intern will be trained on:

  • Reporting: Familiarize with various reports/ reporting templates, shipping analyze data and come up with relevant shipping reports – operations reports versus statistical reports.
  • Successfully navigate and ensure compliance with international shipping regulations, Customs procedures, and trade laws.
  • Apply critical thinking skills to address challenges that arise during shipping operations to ensure efficiency and cost-effectiveness.
  • Adaptation to Automation Technologies - Successfully adapt to and work with automated  technologies in shipping processes, contributing to increased efficiency.
  • Customer Service Excellence – Receiving of feedback for addressing customer inquiries promptly and resolving issues effectively.
  • Enhance Communication Skills - Develop strong communication skills through regular interactions with shipping agents, government authorities, client WFP COs, and internal teams.
  • Efficient Documentation Handling - Achieve proficiency in handling shipping documentation, ensuring accuracy in bills of lading, manifests, and Customs declarations.
  • Improved tracking system or optimizing cargo handling processes.
  • Documentation and compliance.

STANDARD MINIMUM QUALIFICATIONS

 

Education:

  • Bachelor’s degree in In the field of Shipping Studies, Freight Forwarding, Supply Chain, Data Analytics & Statistics, or equivalent. or
  • Graduated no longer than 1 year ago from a Bachelor’s degree or equivalent studies.

 

Language:  Fluency in both oral and written English is required. 

 

Additional skills:

  • Proficiency in MS WORD, EXCEL, SQL and other relevant data reports writing Computer systems.
  • Familiar with ocean freight track and trace tool
  • Strong understanding of Statistical methods, data visualization tools, such as TABLEAU.
  • Ability to report and communicate effectively.

  • Timely processing and review of shipping documents.
  • Analysis of shipping data and generating of relevant reports for different occasions(Operations reports versus Statistics reports).
  • Use of relevant technologies and software within the shipping industry, such as tracking systems and document management tools.

TERMS AND CONDITIONS

 

  • Interns receive a monthly stipend from WFP depending on the duty station of assignment.
  • WFP is not responsible for living expenses, arrangements for accommodation, necessary visas and related costs.
  • WFP will recognize candidates’ educational credentials from recognised institutions that have been certified by competent international or national authorities such as the United Nations Educational, Scientific and Cultural Organization (UNESCO) or Ministries of Education.
  • The internship duration is 8 months, full-time.
