Description

The Pacific Community (SPC) is the principal scientific and technical organisation in the Pacific region, supporting development since 1947. We are an international development organisation owned and governed by our 27 country and territory members. In pursuit of sustainable development to benefit Pacific people, our organisation works across more than 25 sectors. We are known for our knowledge and innovation in such areas as fisheries science, public health surveillance, geoscience, and conservation of plant genetic resources for food and agriculture.

The Operations and Management Directorate (OMD) provides corporate services to all SPC Divisions and Programmes. It consists of three key departments: Finance, Human Resources and Information Services. OMD is focused on improving the effectiveness of systems, policies and management to provide high-quality customer-oriented services.

The role – Office Assistant/Driver will be responsible for assisting the General Administration/Records and Archives Team in the efficient delivery of office administration tasks and messenger services. This includes providing backup driver support services when required.

The key responsibilities of the role include:

Office Support

  • Assist with the Archives/Records Management tasks for the General Administration Team.
  • Assist in the procurement of goods and services.
  • Assist in delivery of the events management service.

Mail & Messenger Services

  • In accordance with the daily messenger schedule, do the daily mail-runs, hand deliveries/collection of mails and/or goods, parcels, letters, etc. and bank runs when required – town and campus run.
  • Be responsible for keeping a proper record of all hand deliveries of official correspondences to various points e.g., but not limited to embassies, Ministry of Foreign Affairs Fiji, CROP and international organizations.
  • Be responsible for the collection and sorting of mails including campus runs at focal points only.

Driver

  • Ensure that the vehicles driven must always be clean and road worthy, with legal and compliance requirements in check.
  • Provide transportation services for official vehicle requests.
  • Ensure filling in the running sheets accurately for all runs and maintained daily.

Key selection criteria

Qualifications

  • Certificate in Management or related qualification from a recognized institution.
  • Valid driver’s license (2, 3, 4, 5) with no endorsements.

Technical expertise

  • At least 3 years working in an office environment.
  • A minimum of 7 years driving experience.
  • Knowledge of vehicle maintenance would be an advantage.
  • Demonstrated ability to work effectively without constant supervision.         

Language skills

  • Excellent English communication skills (oral and written).

Interpersonal skills and cultural awareness

  • Ability to work in a multicultural, inclusive and equitable environment.

 

Salary, terms and conditions

Contract Duration3 years – subject to renewal depending on funding and performance.

Remuneration – The Office Assistant/Driver is a band 4 position in SPC’s 2024 salary scale, with a commencing taxable salary range of FJD 1,260-1,575 per month, plus local staff benefits. An offer of appointment for an initial contract will normally be made in the lower half of this range, with due consideration given to experience and qualifications. Progression within the salary scale will be based on annual performance reviews.
