JOB DESCRIPTION
Job title: Manager â International Grants
Department: Resource Mobilisation
Reporting to: Sr. Manager â Grants (institutional Partnership and Overseas Grants)
Location: New Delhi
Grade: D Contract
Duration: Three years
Level Of Contact With Children: 3 (None or rare contact)
The position holder shall be responsible to adhere & work within the ambit of Plan Indiaâs Child Protection & Gender Equality Policies.
Travel Requirement: upto 25% of time

SUMMARY OF THE OVERALL JOB
The position is primarily responsible for concurrent grant management, donor servicing, grant reporting and support grants and program staff in the development and writing of proposals in line with Plan Indiaâs Country Strategy (2022- 2027) . The role also requires circulating up to date grants information to program and finance teams. The position is also responsible for tracking the progress of programmes in coordination with the Program implementation team and submission of quality donor reports.
KEY FUNCTIONS / RESPONSIBILITIES:
GRANTS MANAGEMENT:
⢠Review and prepare Funding Agreement Document (FAD) and complete the entire process of signing of the FAD from the concerned parties.
⢠Maintenance of the grants data base and different types of grants codes as required by the grants management systems
⢠Monitor together with Point Persons the project implementation progress of grant funded programs and projects as per FADs and donor requirements.
⢠Maintain up to date information flow to Finance department for real time FAD management in the organizationâs grant management systems
⢠Update the grants MIS and information sheet for use by the program and finance staff
⢠Maintain up to date the grant files in line with the audit requirements
⢠Maintain the copies of the all the FAD related correspondence and documents on Planâs storage systems
DONOR PROSPECTING & ACQUISITION:
⢠Maintain the donor profiles and be the single point communication point for donor servicing and report submissions.
⢠Provide information on proposals, budgets and grant funded projects to Donors, Program implementation and Finance staff.
⢠To prepare a summary of the key points and circulate it to the teams for initiating brainstorming/ discussion on the approach for a go/no-go in case a funding opportunity matches Plan Indiaâs thematic areas of interest
⢠To request for cross-functional meetings/ discussions to brainstorm on the funding opportunities from Institutional donors such as foundations, bilateral and multilateral donors.
⢠To create and update the prospect trackers, monthly proposal tracker through the systems within the organization.
⢠Identify donor opportunities with to meet the grants targets as per business plan.
⢠Coordinate donor visits and work closely with the Grants implementation team at states and head office.
PROPOSAL DEVELOPMENT:
⢠To participate in the process of conceptualizing and writing proposals and provide donor perspective and clarify donor requirements. Candidates with excellent skills and demonstrated experience in writing proposals and grant reports will be given preference.
⢠To ensure timely development of proposals and concept notes as per donor requirements in coordination with the programme team
⢠To constantly follow up and coordinate with the respective state teams and functional heads for their inputs and approval on the proposal and budget revisions, if any
⢠To discuss budget with the Programme Implementation and Finance teams for proposals
⢠To finalize the proposal to ensure that all the donor requirements have been addressed
⢠To track progress of proposal/ concept note sent to the potential donor
PARTNERSHIP AGREEMENTS:
⢠To review the grant agreements to ensure compliance to Plan Indiaâs procedures, system and ethical guidelines issues (incl. the CP policy)
⢠To manage the grant agreements in terms of seeking extensions/modifications or tracking under-spends
DONOR SERVICING :
⢠To provide timely resolution of queries raised by donors
⢠To coordinate with specified state programme teams on quality and timely reporting (as per donor requirements/regulations)
⢠To review and ensure timely submission of donor reports
⢠To ensure timely, accurate and effective donor servicing in terms of the standard processes.
DONOR PIPELINE :
⢠To maintain an active pipeline of prospective opportunities
⢠To maintain a pipeline for closures and realizations in the financial year
EDUCATION AND EXPERIENCE:
Education: Masters in Social Sciences / MSW / MBA
Technical Skills :
Expertise in Computer Application and software like ERP, MS Office (Word, Excel and PowerPoint) is critical for the job role
Experience: 10+ years of relevant experience
