Result of Service

• To provide the required support for the proper and successful performance of the Protocol and Liaison Services Unit (PLSU) during the specified period.

Six (6) months.

Duties and Responsibilities

Under the general guidance of the Chief of Publications and Conference Management Section (PCMS), and the direct supervision of the Chief of the Protocol and Liaison Services Unit, the Individual Contractor shall perform the following specific duties:
• Assists the Chief of the Protocol and Liaison Services Unit
• in planning, coordinating and supervising the day-to-day activities of the Unit;
• Plans and assigns work programs, tasks and duties to the Protocol Assistants;
• Providers guidance on immigration formalités ;
• Receives and verifies service applications. Ensures timely submission and processing of the received requests;
• Prepares budget estimates for conferences that involve protocol services;
• Verifies hotel invoices for official functions and accommodation of ECA guests;
• Advises staff members, eligible dependents and conference delegates on issues related to immigration formalities, visas, hotel accommodation etc.
• Ensures that operating procedures related to protocol and Ethiopian visas are followed to the letter;
• Provides input to the Unit and Section Chiefs on policy issues;
• Solicits feedback from clients and devises ways to improve the efficiency and effectiveness of the Unit;
• Assist the Chief of the Unit in the coordination of Airport protocol, visas on arrival and accommodation services;
• Undertakes continuous and result-oriented discussions with the Airport Immigration, Customs and
• Security representatives for better services to conference participants, staff and their eligible dependents;
• Ensures that Immigration and Customs related problems, if any, are resolved amicably;
• Assists in the preparation, in close collaboration with all relevant ECA Units and partners, of a post– mortem logistics evaluation report and lessons learnt, highlighting pertinent recommendations for future Conferences;
• Undertake any other assignment as required by the Chief, PCMS / Chief, PLSU

Qualifications/special skills

Academic Qualifications: High School Diploma.
Experience: At least 10 years of progressively responsible experience in the area of Protocol and Logistics is required. Knowledge of computer systems (Microsoft office package).
Language: Fluency in written and spoken English with good communication skills is essential.
