Duties and Responsibilities

Under the general guidance of the Chief of Publications and Conference Management Section (PCMS), and the direct supervision of the Chief of Travel, Transport and Visa Services Unit (TTVSU), the Individual Contractors shall perform the following specific duties:
• Sorts, screens, and distributes incoming and outgoing mail; providing various draft such as: letters, memorandum, faxes, Note Verbal and submit them for signature drafts or prepares responses to routine inquires;
• Determining priority and urgency will submit documents to the Chief, CMS;
• Maintain files (mainly in Unite Docs);
• Arranging meetings with officers/visitors/clients within and outside ECA, arranging meeting venues and making appointments;
• Ensure follow up of the section actionable items;
• Prepare and process confidential information;
• Taking minutes during the section meetings and submit it to the Chief, CMS in a timely manner;
• Respond to queries as suitable; Report faulty machineries to the respective Sections such as: faulty lights, doors, telephones, computers, printers, photocopy machines and any other office machineries;
• Ensure smooth and efficient information flow within the Section;
• May order, stock and distribute office supplies
• Performs related duties as directed.

Qualifications/special skills

Academic Qualifications: High School Diploma
Experience: At least five (5) years of progressively responsible experience in the area of administrative and office management functions
Language: English and French are the working languages of the United Nations Secretariat. Fluency in written and spoken English with good communication skill is required.
