SOS Children’s Villages International is the umbrella organisation for the global federation of SOS Children’s Villages. As a non-governmental social development organisation we help children without parental care and families in difficult living conditions through services in care, education, health and emergency relief, and we advocate for children’s rights. The Programme Development organizational unit provides professional support to enable the leadership & key stakeholders across the federation to fulfil our commitment to quality care and to maximize our impact.  

 

Purpose of the position 

The Executive Assistant to the International Director (ID) Programme Development (PD) provides an extensive level of support to the ID PD, e.g. manages operational and administrative aspects; performs critical analysis; and supports with external and internal networks, meetings and projects. First and foremost, this maximizes the value of the ID PD’s time, it enables him to be more productive, to focus on our mission to build families for children in need and to maximize our impact, as well as to use his resources on leading the team. Further, this position is a key enabler for programme development impact by contributing to current initiatives and serves a communication interface between various stakeholders. 

Overall, this position contributes to the anchoring of quality care across the SOS Children’s Villages federation in the general secretariat, in member associations, through all staff, in all its operations, functions, and programmes. 

 

Tasks and Responsibilities

  • Managing operational and administrative aspects for the International Director (ID) of Programme Development (PD) and its Management Team, including but not limited to maintaining the schedule of the ID, handling information requests, general correspondences, preparing important corporate documents and presentations 
  • Organising meetings, managing travels, providing guiding management support and support to other staff as assigned, and maintaining and supporting relevant networks. 
  • Coordinating the PD budget including coordinating the planning and monitoring process with all PD departments and liaising with the ID PD, project managers and finance, budget responsibility for cost centres in PD directly supervised by the ID 
  • Organising a variety of virtual and physical meetings, workshops and events (compilation of agenda, planning, design, briefing, execution, documentation, facilitation, follow-up), including leading the programme development management team meetings 
  • Managing and coordinating PD projects as needed, including providing support with the monitoring and reporting process, managing or coordinating project teams, and providing content support as necessary 
  • Autonomously preparing professional content, presentations and communications on current topics, in direct alignment with the ID PD 
  • Coordinating strategic planning, support planning, individual planning and review processes within the competence center  
  • Serving as a communication interface between various stakeholders  

 

Requirements

Essential: 

  • Bachelor degree in Business Administration or other relevant field 
  • At least 2 years of professional experience in a relevant setting 
  • Experience in working in an international organisation  
  • Excellent prioritization skills, effective use of own resources and staying calm and focused when complex tasks with a tight deadline are required 
  • Positive and solution-oriented hands-on working style with ability to deliver high-quality results  
  • Strong problem-solving skills, as well strong analytical and conceptual capabilities 
  • Communication/collaboration with a diverse range of stakeholders, various different projects /interests 
  • High level of integrity and discretion in handling confidential and sensitive information 
  • Stakeholder management and communication skills 
  • Project management skills would represent an asset 
  • Fluency in English (written and verbal) 
  • Openness to work from Austria as work location 
  • EU citizenship or eligibility to work in the EU 

  

 Desirable: 

  • Experience in working in an NGO 
  • Meeting facilitation skills would represent an asset 
  • Experience in the field of programme development 
  • Good command of German or/and Spanish 
  • Programme development knowledge
