The WTO Secretariat is looking to hire several temporary Conference Technology Assistants to support the Virtual Meetings Unit of the Administration and General Services Division. The incumbents are expected to join early November and will be directly involved in assisting with meetings before as well as during the 12th Ministerial Conference (30 November to 3 December).

General Functions

The main goal is to support, prepare, troubleshoot and monitor virtual meetings and ensure that all the required steps are followed in terms of event setup, troubleshooting and logistics to ensure the smooth running of the meeting. Incumbents will report to the Team Leader in charge of virtual meetings.

Overall responsibility is to  ensure that the setup for an event (one hour before actual event starts) is executed effectively and in a timely manner. This may include the following tasks:

  • Depending on the setup, is responsible for monitoring the podium equipment
  • Acts as  focal point with the event organiser and is responsible for communication and workflow during the entire meeting.
  • Acts as a main point of contact for Delegates when it comes to troubleshoot issues on the Interprefy platform (phone, private chats, emails)

More specifically, the incumbents will carry out the following responsibilities:

Preparation for the meeting

  • Preparation and follow-up of the schedule of week.
  • Request for additional information from Division/Organizer (Group of attendance, name of Chairperson roles)

During the meeting

  • Preparation and assistance on Podium activities for Interprefy/Zoom.
  • Onboarding of delegates (sound checking and troubleshooting)
  • Monitoring meeting and troubleshooting for Delegates throughout the meeting.
  • Coordination and communication on technical support with Interprefy/Zoom, Conference technical group, IT and Web team.

Other Responsibilities

  • Transmission of log data of the meeting to WTO Organizer
  • Preparation of statistics based on demand
  • Preparation, update of technical note, guides, and other documents upon request

This is a highly demanding job and requires constant movement between meeting rooms and venues.

REQUIRED QUALIFICATIONS

Knowledge and Skills:

Overall understanding of Windows and Mac OSs.

Familiarity with audio and video equipment used for virtual meetings.

Familiarity with Zoom and Interprefy (Zoom and Interprefy – further training to be provided).

Good organizational and planning skills. 

Excellent communication skills in both English and French.  Spanish would be an added advantage.

Tact, diplomacy and confidentiality.

Ability to multitask. 

Customer service orientation.

Flexibility (prepared to work long hours), reliability, accuracy.

Teamwork spirit while able to work independently.

Languages:

Excellent communication skills in both English and French is required.  Spanish would be an added advantage.
