The IRC Emergencies & Humanitarian Action Unit
The IRC Emergencies and Humanitarian Action Unit (EHAU) leads or oversees the IRC’s global emergency preparedness, response and humanitarian activities. The mission of the EHAU is to help meet the immediate survival needs and reduce suffering in conflict or disaster affected populations during the acute phase of an emergency. The EHAU also works in protracted emergencies, where the risk to life may be reduced but the population is still subjected to rights abuses and a lack of basic services. 
Job Overview/Summary: 
The EHAU’s Unit Manager is responsible for a large range of administrative and communications functions to ensure key EHAU initiatives and activities move forward as effectively and efficiently as possible. The position reports to the Director of People & Operations in Emerg and works closely with Vice President, Emergencies, the People & Operations Coordinator, Strategy Officer and Associate Director, HR.
This position is ideal for a candidate with a background in administrative & communications support, who wants to use their skills in a fast-paced environment supporting emergency responses across the globe. The ideal candidate will enjoy balancing multiple responsibilities, while maintaining strong collaborative relationships with HQ and colleagues deployed in country programs. As a part of the HQ support team which assists deployed Emergency Response Team members and country programs in emergencies, a customer service mentality is critical to this role. 
Major Responsibilities:
1. Unit Administration
•Provide high-level administrative support to the VP, Emergencies inclusive of, but not limited to, managing calendar, scheduling and rescheduling appointments, booking travel and tracking key initiatives
•With leadership to the Program Associates, ensure smooth collaboration with other HQ departments as needed on issues related to IT, Office Services, Global Supply chain, HR, etc. as requested.
•Organization and maintenance of the EHAU’s collaborative cloud filing system on Box
•Lead all aspects of office space planning and serve as focal point with the HQ Facilities team to plan and coordinate effective office space.
•Participate and contribute as standing member of the EHAU weekly call planning team   
•Coordination and knowledge management of unit and organization-wide subscriptions 
•Working closely with the Senior Management Team, project lead the EHAU’s annual off-site conference collaborating with vendors and GSC
•In collaboration with the Associate Director HR, develop and implement team building & engagement activities 
•Gracefully and diplomatically represent the IRC internally and externally
2. Communications
•Review and update content of EHAU pages on RescueNet (IRC’s intranet);
•Provide high-level support for the preparation of communications, presentations, and meeting materials for the VP Emergencies, and on occasion for EHAU Section Directors;
•Lead on the development and distribution of the Unit’s newsletter
3. HR Administration
•Maintain and update EHAU’s training calendar and tracker
•Lead on process of executing service and consultant contracts 
•Emergency Roster recruitment administration
•Assist with occasional HR administration tasks, including HR paperwork, upkeep of organization chart and staff lists, and departing staff exit process
4. Strategic Initiatives
•Be responsible for the EHAU’s bi-weekly Micropoll, including data collection and analysis
•Strategic meeting coordination, including the EHAU’s podcast discussions and speakers series
•Identify gaps and manage systems/ process improvement to enhance the efficiency of EHAU’s cross-section work.
•Support special projects for the Vice President, Emergencies and/or the SMT, as required

Requirements
Minimum Requirements
•Bachelor’s degree or equivalent, with at least 1-3 years related experience
•Proven organizational skills; detail-oriented; ability to multi-task and prioritize tasks
•Excellent interpersonal and communication skills: the ability to successfully and effectively collaborate with people in a multi-cultural environment
•Ability to multi-task and work in a fast paced environment
•Flexible work demeanor and ability to work in a team across functions
•Experience interacting and communicating effectively with members of a complex organization at multiple levels
•Good judgment and ability to maintain confidential information
•High level of comfort with MS Excel, Word, PowerPoint and Outlook
Preferred Additional Requirements
•Experience in a humanitarian or development organization
•Experience successfully running events/conferences 
•Multi-lingual skills advantageous – with priority placed on French, Spanish and Arabic
Working Environment:  Standard Office Work Environment. Minimal domestic travel.
