Contract Duration:
The Fleet Assistant will be contracted for an initial term of 12 months. Contract may be extended based on business need and satisfactory performance.

Job Purpose 
To support the Fleet Manager in daily transport requests, monitor the digital booking system and provide mobility solutions and support to staff members in Country Office.


Key Responsibilities (not all-inclusive, nor exhaustive):

Within the assigned unit and under the supervision of the Fleet Manager and the overall supervisor of the Head of Administration, the Business Support Assistant will be responsible for the following duties: 

•    Receive and respond requests from other units to assign drivers for missions ensuring a proper rotation is always maintained within the driver pool. 
•    Reconcile the monthly fuel consumption for Vehicle.
•    Maintain updated individual files for all vehicles ensuring all required information is included. 
•    Verify all vehicle logbooks are properly filled. 
•    Follow up with insurance company in case of Accidents and monthly Renewals.
•    Follow up with Dubai Office regarding the new vehicle lease / insurance / request for additional equipment / Renewal of existing vehicles lease / shipment 
•    Request and follow-up on security clearances for field visits
•    Track drivers’ overtime records and issue reports as needed
•    Creating PR’s / Po’s for all the items related to vehicles / Support Service. 
•    Prepare all required reports and statistical information for the transport unit.
•    Coordinate with admin assistants in the field-on-field missions and UNIFIL clearances
•    Perform any other duty as required

Desirable Knowledge and Skills: 
•    Training and/or experience utilising computers, including word processing, spreadsheet and other WFP standard software packages and systems. 
•    Advance knowledge and training in Microsoft Excel for statistics and reports is an advantage.


Standard Minimum Qualifications:    

 

Education: Completion of secondary school education. University degree in the related functional area is desirable.

Experience:  At least three years of progressively responsible support work experience in general administrative or relevant work.

Language:  Fluency in both oral and written communication in Arabic and English. Fluency in French is an advantage.
