Background

UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security.

The UN Women Country Office (CO) Kazakhstan is based in Nur-Sultan. CO programming includes support to Government and civil society organizations in the development and implementation of innovative approaches aimed at achieving gender equality and women’s empowerment. In Kazakhstan, UN Women supports efforts of the national partners and UN agencies in implementation of gender equality commitments in compliance with the UN human rights conventions ratified by Kazakhstan. It provides strong and coherent technical support of gender equality priorities in national and UN efforts and support to build effective partnerships with civil society and other relevant actors. It strengthens coordination on gender equality and women’s empowerment programming and enhances cooperation for gender responsive post-2015 development agenda’s implementation at the national and sub-regional levels.

Reporting to the UN Women Kazakhstan’s Advocacy and Communications Analyst, the Communications Assistant is responsible for assisting in the planning and implementation of the Office communications and advocacy strategies to increase the visibility, standing and awareness of UN Women with partners, the media and the public, as well as raising awareness on and advocating for gender equality and women’s empowerment issues in Kazakhstan.

The Communications Assistant works in close collaboration with the Programme, Operations and technical teams in the UN Women Kazakhstan office, HQ/Regional communications teams, staff of other UN Agencies, , media, multilateral and bilateral donors and civil society. Communications Assistant shall provide administrative support to a smooth implementation of communications projects. 

Duties and Responsibilities

1. Assistance in development and coordination of communication and outreach/advocacy strategies and plans- Assistance with preparation and conduction of communication needs assessments for the CO, including projects, programmes and corporate change initiatives;- Assistance with managing annual partners’ perception surveys about UN Women work and apply the results in the CO communications and advocacy strategies and plans;- Assistance with analyzing requirements and synthesize proposals for elaboration of communication strategies; ensure gender perspective;- Assistance with integration communication, advocacy and outreach strategies into proposals for project/programmes and other initiatives;- Assistance with development, coordination, implementation and monitoring CO annual communications and advocacy plans, as well as publications plans- Assistance with coordination and implementation in-country UN Women/ UN system corporate and local campaigns and special events ensuring their compliance with the corporate identity and priorities. 

- Assistance with design, coordination and lead implementation of joint UN communications activities in theframework of GTG and UNCG, which are relevant for CO mandate.

2. Assistance with coordination and implementation the development and dissemination of communication and advocacy materials in the country/region- Assistance with design and production of quality CO visual and print products with the UN Women corporate branding, publication, photo, social media and the other guidelines;- In cooperation with the team, identify opportunities to engage in dialogue with public or/and target audiences and motivate them to engage with CO, using creative products and methods;- Assistance with development and dissemination of communication materials, including briefing materials, audiovideo-multimedia products, designs, animation, videos, press releases, and human interest stories in line with UN Women and donor guidance;- Assistance with monitoring and analyzing how media picks up CO’s communications products and recommend to the management to adjust products and dissemination strategies if relevant;- Pro-actively identify opportunities for dissemination of UN Women multimedia products, activities, approaches, platforms and engage partners;- Assistance with translation and dissemination of corporate advocacy materials for launching flagship initiatives and campaigns;- Assistance with managing the translation/adaption/rewriting of information received, printing and dissemination of publications and audio-visual materials. 

3. Coordinate media relations for the Country Office- Assistance with managing partnerships with media (including social media); maintain and update database of relevant contacts;- Assistance with responding to inquiries, prepare related correspondence, materials, interviews, Op-Eds, etc;- Assistance with design and implementation the outreach strategy for the management, to promote positive image and results achieved by CO and its national and international partners and donors;- Assistance with initiating and organizing roundtable discussions, press conferences and briefings for media and other partners;- Regularly monitor and report on key trends and developments in the traditional and social media;

4. Maintain the Country Office web/ online presence- Assistance with development and managing the CO website, initiate and create content, provide oversight and quality assurance into its contents based on corporate requirements;- Assistance with design of creative social media strategy for the CO and its implementation plan. Assist with production of multimedia interactive products (including videos, infographics, audio, animation, etc), engagement of the audiences in the dialogue and manage the CO social media accounts in line with corporate social media policy;- Maintain CO audio-video archive and ensure that its regular replenishment;- Brief team on photography and video making, ensure that they can provide inputs to this archive as well;- Assistance with uploading information to knowledge management system on a regular basis, including news, updates, and resources.

5. Administrative support- Provide administrative and logistical support in the organization of events, meetings, trainings and workshops, etc;- Make travel arrangements for the Communications Analyst and partners including preparation of travel requisitions and claims;- Draft non-substantive correspondence such as letters, notifications, etc.;- Assist in translation and proofreading the documents related to communications;- Maintain and organize up to date hard and electronic files for easy access and retrieval;- Organize and coordinate filing of correspondence/documents and ensure up-to- date filing;-  Maintain both hardcopies and electronic copies of the office records and reference files on various subjects;-  Create and maintain appropriate folders for reference materials received electronically;- Prepare presentation material/slides in Power-point for presentations for the meetings/workshops and keep all papers ready for meetings

Required Skills and Experience

 

Education and certification:

  • Bachelor degree in communications, public relations, journalism, international relations, marketing, design or relevant field is mandatory;
  • Specialized training/ certificate in the related area is an asset;

 

Experience:

  • At least 5 years of professional relevant work experience at national or international level in public relations, marketing, journalism, communications or advocacy, international relations;
  • Experience in the production of multimedia materials for the social media;
  • Experience working with international organizations is an asset.

 

Language Requirements:

  • Fluency in English, Kazakh and Russian is required;
  • Working knowledge of the other UN official working language is an asset.
