ABOUT THE JOB

Overall purpose of the role:

The finance officer is responsible to review and quality check all financial documents at area office level; he/ she is responsible to ensure proper compliance with DRC policies and guidelines exits before making the financial transaction or bank transfer.  The finance officer report directly to support services team leader and in absence to area manager.   

Responsibilities:

Documentation / vouchers

  • Ensures finance supporting documents are complete (coding, authorization level types of documents)
  • Work closely with Supply Chain and Admin departments to ensure that all supporting documents submitted to finance are ok
  • The signature schedule is updated monthly and respected
  • Ensure that all scanned vouchers are uploaded in Dynamics as necessary

 

Bank Payments (In Absence of the relevant staff)

  • Prepare and submit requests for bank transfers to the vendors
  • Submit all correspondence with bank and update letters accordingly
  • Coordinate with country office and if needed with other Area Offices to do the bank transfers.
  • Close follow up on all payment to be done on time
  • Close follow up with country office on all payments to be done from country office
  • Issue Cheques as required
  • Do bank Reconciliation

Dynamics

  • Do first finance review for all invoices in DRC Dynamics (ERP) at area office level.
  • Create invoices in Dynamics as needed
  • Ensure that all transactions are recorded in Dynamics

 

Filling (in Absence of the relevant staff)

  • Filing all financial documents handled
  • Ensure the filing system is clear, clean and up to date

 

External contacts

  • Possibly visit bases and participate to trainings on financial issues and Dynamics
  • Support country office finance department in time of audit
  • Support with providing documents and explanation to audits done at country office level and at area office level.
  • Review insurance company invoices and report any irregularity

 

Taxation

  • Coordinating with country office tax payment issues
  • Filing monthly tax payments (Payroll, Expat, Rental, and Procurement taxes) to the authorities
  • Update suppliers on confirmation of tax payments on their behalf as needed

AOB

  • Act as finance officer cum cashier in absence of cashier
  • Any other duties as assigned by your line manager

ABOUT YOU

To be successful in this role you must have:

Experience and Technical Competencies: 

  • Two years of relevant experience

Education:

  • Bachelor of Business Administration or equivalent

Languages:

  • English, good
