Organizational Setting

FAO's office for Yemen is responsible for developing, promoting, overseeing and implementing agreed strategies for addressing countrywide food, agriculture and rural development priorities under Yemen. It develops and maintains relations with the relevant Ministries at the country level. This position is based in FAO Representation in Sanaa, Yemen. The main aim of the FAO country offices, which are headed by an FAO Representative, is to assist governments to develop policies, programmes and projects to achieve food security and to reduce hunger and malnutrition, to help develop the agricultural, fisheries and forestry sectors and to use their environmental and natural resources in a sustainable manner.

Reporting Lines

Under the overall guidance of the FAO Representative, the direct guidance and supervision of the Administrative Officer (Head of Support Unit), and the overall technical guidance of the Human Resources Division through the Regional HR Officer (RNE) that channelled through the Head of HR Unit, FNYAR.

Technical Focus

The incumbent will provide assistance to FAO Yemen n HR management practices and implementing HR Policies and procedures

Tasks and responsibilities

  • Assist in the recruitment process of all categories of staff and locally recruited national personnel (NPP, PSA and SL), including communication with applicants and preparation of offers/terms of employment; raises HR actions for the national personnel in the online corporate system;
  • Follow up and ensure obtaining all necessary IT equipment and corporate accesses are provided to staff such as Laptop, emails and other FAO accounts;
  • Preparation of induction schedules for new joiners to be adhered to the recruitment timeline.
  • Update leave requests in the corporate system as needed, record absences without submission of leaves and highlight for necessary action;
  • Assist in updating employee files such as signed contracts, leave applications, UNLP requests, IDs, Certificates, disciplinary measures, if any, extension documents, QARs, etc.;
  • Assist in monitoring the contractual status of employees on various recruitments;
  • Scan and upload all approved supporting documentation for processing various human resources actions relating to recruitment, staffing, organizational design, staff development in the E-files.
  • Handle monthly salary time card submission for PSA and Casual Labour. Check and maintain attendance records, leave reports, and other documentation and reports for staff and non-staff.
  • Assist in responding to requests from employees and candidates, e.g. leave balances and recruitment follow-ups.
  • Maintain personnel and recruitment files for employees, ensuring all documentation is complete; maintain and update confidential information and documents; and ensure relevant documents are kept strictly confidential.
  • Perform any other related duties as required.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

  • At least 4 years of relevant experience at the national or international level. Diploma (or higher level of education) in administration studies or related fields.
  • Familiarity with computers and Microsoft Word, Excel essential.
  • Full competency and fluency in English
  • National of Yemen.

  • Experience with a UN Agency or International NGO desirable.
