Description of taskUnder the supervision of the Chief Acquisition Planning Officer the duties of the Acquisition Planning Assistant will include but not limited to the following:

Raise shopping Cart in UMOJA and follow closely their execution by Procurement Section accordingly.

Prepare and formulate operational cost estimates, including travel and training for the section.

Prepare the annual Supply Chain Management (SCM) Acquisition Plan based on the approved Budget. Revise the Acquisition Plan (AP) every quarter of the fiscal year and submits to Procurement Section for further actions;

Prepare annual budget performance report and prior year obligations report for SCM;

Provide input into the preparation of allotments, including redeployment of funds when
necessary, to meet the operational requirements of the Section, ensuring appropriate
expenditures; verify accuracy of input data, ensuring consistency of data in previous and new allotments issued to the specific accounts; review on ongoing basis expenditures and obligations against the approved budget and processes corrections as required;

Regularly update the reports on the status of Supply Chain Management (SCM) accounts expenditures, obligations and balances; prepare draft narrative of the performance report by justifying the requested increase or decrease by object of expenditure and completes related resource tables; provide financial information and tables to clients; regularly review validity of outstanding obligations and initiate action as necessary;

Monitor shopping carts raised in the monthly Acquisition Plan. Review requisitions for goods and services against the Acquisition Plan to ensure correct objects of expenditure have been charged and availability of funds; assist in the preparation of budget performance submissions, analyzing variances between approved budgets and actual expenditures; coordinate technical evaluation reports and produces the documentation; manage Low Value Acquisition for MSD.

Liaise with other Sections on procurement, budgetary and financial matters.

Perform any other duties as requested by the supervisor.
Business Administration, procurement, Logistics, supply chain, Information technology and/or other relevant discipline, or equivalent
Required experience: 36 Months Experience remark:At least 3 years of professional experience in property management or Business Administration or operations work in private industry or a government organization; relevant practical experience in the UN would be an asset
Language skills:- English(Mandatory), Level - Fluent
- French(Optional), Level - Working Knowledge
- Business Administration, procurement, Logistics, supply chain, Information technology and/or other relevant discipline, or equivalent
- Microsoft Office suite, Microsoft Project, SAP, CRM applications, UMOJA.
