OVERVIEW OF THE FUNCTIONS OF THE POST

Under the overall supervision of the Director of the Office and the direct supervision of the Senior Finance and Administrative Officer, the incumbent will perform the following duties:
Long DescriptionGeneral Accountabilities
- Assist in the preparation of documents/reports;
- Compile, verify and maintain records of transactions and Office activities;
- Classify and code material relating to a number of subject areas and maintains general office files;
- Search Office files and records relating to a variety of topics for information and reference from automated systems;
- Select information and record in correspondence, technical papers, project/ programme plans and general reference documents;
- Draft routine correspondence, cables, memorandums and reports on the basis of oral instructions, previous correspondence or other available information sources in accordance with standard office procedures.
Budget Accountabilities
- Register actions/data; perform non-complex corrections in systems.
- Verify transactions and check data/figures; identify and correct errors/anomalies and assist to input corrective action in the management information systems.
- Assist in preparation of budget, check completeness, accuracy and compliance of documentation;
- Assist in the production of a variety of financial reports and statistics related to regular and extra budgetary funds;
- Extract data and information from the automated financial and programmatic systems and prepare standard reports.
EDUCATION
Bachelor degree with specialization in business administration, human resources management, finance, accounting or any related fields.
WORK EXPERIENCE
At least three years of experience in a similar position, knowledge of UN/UNESCO is an asset.
SKILLS
The work requires knowledge of office rules, procedure, protocols to carry out a variety of administrative tasks preparing/ reviewing/editing of correspondence. Documents and report; maintaining/ updating filling and reference systems and other computerized system (e.g.: work plans. Mailing lists; assembling documents for statutory and other meetings).
Computer literacy and ability to use effectively word processing and office technology equipment’s.
LANGUAGES
Excellent knowledge of English and knowledge of local languages (Dari and/or Pashto)
