The Organisation for the Prohibition of Chemical Weapons is the implementing body for the Chemical Weapons Convention, which entered into force on 29 April 1997. The OPCW, with its 193 Member States, oversees the global endeavor to permanently and verifiably eliminate chemical weapons.



The ultimate aim of the OPCW is to achieve our vision of a world free of chemical weapons in which chemistry is used for peace, progress, and prosperity, and to contribute to international security and stability, general and complete disarmament, and global economic development. Under the OPCW's oversight 96% of the chemical weapons stockpiles declared by possessor States have been verifably destroyed.



The OPCW was awarded the Nobel Peace Prize in 2013 for its extensive efforts to eliminate chemical weapons.

Responsibilities


Job Summary


Join our Conference Services Section team! We're looking for a dedicated and a hardworking professional with knowledge of diplomatic and business protocol as well as strong organisational and interpersonal skills.



As Conference Service Assistant you will provide support to the Policy-Making Organs and Secretariat through the provision of conference room services and logistical support. You will assist the Documentation Assistants in the drafting of the List of Participants, provide front line customer service and information to delegations and Secretariat staff in the context of meetings, presentations, scheduling and other procedural concerns.


Furthermore, in this position you will have the opportunity to illustrate interpersonal skills in a multi-cultural environment as well as acting with integrity and demonstrating professional competence.


Main Responsibilities


In your position as the Conference Services Assistant you will be responsible with handling and managing the in-room tasks involved during, before and after a conference. These include ensuring the logistics of setting up the meeting rooms, managing the Digital Recording and Visual System, and providing assistance as required by the Secretary of the meeting, the Chairperson and all participants. In addition, you’ll have to keep a timely account of official-series documents, prepare floor plan arrangements, and create monthly statistics of meetings.

Qualifications and Experience


Education


Essential:


  • High school diploma or equivalent diploma of higher secondary education.

 


Desirable:


  • Completion of post-secondary education in conference or records management, or in the field of international relations.

Knowledge and Experience


Essential: 


  • At least one year of relevant experience in general administrative work, or records and documents management.

 


Desirable:



  • Previous work experience in international conferences would be an asset;

  • Proven interpersonal skills and ability to establish and maintain effective and constructive working relationships with people of different national and cultural backgrounds while maintaining impartiality and objective;

  • Familiarity with the operation of technical equipment would be an asset, in particular, equipment related to audio and visual display, recording or editing technology, and/or printing and copying machines.


Skills and Competencies


Strong organisational, interpersonal and problem-solving skills are crucial in order to be able to be effective in this role. There will be high demands placed on the smooth running of the operation due to potential technological issues that may arise that will need to be addressed rapidly, and as a result, computer literacy is very much required. This position is an essential aspect of this organisation and consequently a high level of maturity, resourcefulness and ability to handle a large work load is necessary, alongside, working in a multi-cultural and multi-ethnic environment that respects for diversity.


Languages


Fluency in English is essential and a good working knowledge of one of the other official languages (Arabic, Chinese, French, Russian, and Spanish) is desirable.


Additional Information


Staff members in the General Services category are normally recruited and paid on a local basis.



This appointment is for the duration of two years, with a six-month probationary period, and is subject to the OPCW Staff Regulations and Interim Staff Rules.



The Director-General retains the discretion to not make any appointment to this vacancy, to make an appointment at a lower grade, or to make an appointment with a modified job description. Several vacancies may be filled.
