IDLO IN MEXICO

The IDLO Country Office assists the Mexican authorities in strengthening the rule of law through consolidating reforms of the criminal justice system. IDLO supports the strengthening of preventive policing and the professional development of the police force, with a focus on developing the capacities of police officers as first responders in the criminal justice process.

The Country Office Mexico reports to the IDLO Programs Department (HQ), which is the central management and coordination function for program development, program delivery and capacity development at IDLO. The Programs Department is responsible for the implementation of IDLO’s global program portfolio for field and non-field locations in line with organizational strategy.

THE POSITION

Under the supervision of the Country Office Finance Manager, the Finance Assistant will support the Country Office in complying with IDLO financial policies and procedures as well as local fiscal rules and regulations.

Summary of Functions:

1.       Assist in the development of financial reports, including compilation and review of relevant financial and other documents.

2.       Assisting in financial audits, including compilation and review of relevant documents.

3.       Performing basic office tasks, such as filing physical and electronic information, data entry, provide support in compliance with local requirements (by e-mail, by phone, visits, etc.)

4.       Manage the filing and retrieval of electronic and physical financial documents as required by organizational policies, procedures and local rules and regulations.

5.       Entering transactions on Facturador system for local purposes, under the supervision of the Finance Manager.

6.       Provide administrative support to procurement processes, in cooperation with IDLO HQ.

7.       Additional administrative support duties in financial reporting, as may be required.

IDEAL CANDIDATE PROFILE

Education and Work Experience

  • University degree in public accountant, business, finance, or related field is required.
  • Proven working experience in administrative or bookkeeper positions (at least 3 years)
  • Experience working in an international and non-profit context is highly desired.
  • General knowledge of accounting systems and ERP’s.

Languages

  • Excellent written and communication skills in English and Spanish are required (at least English B1 according to the Common European Framework).

Knowledge, Skills and Abilities

  • Proficiency in MS Office applications and cloud platforms (Word, Excel, PowerPoint, SharePoint). Proficient use of other ICT and internet software.
  • Excellent written and verbal communication skills.
  • Works well with others and actively participates. Shares information, contributes, encourages and motivates others to become involved in team activities. Provides constructive feedback and willingly helps others. Contributes to a fair environment that fosters collaboration and cooperation. Works effectively across and within IDLO organizational boundaries.
  • Proven ability to see through tasks set and deliver results. The ability to work under pressure with tight deadlines, flexibility and an entrepreneurial spirit.
  • Keen sense of ethics, integrity, and commitment to IDLO’s mandate. Self-motivated and dynamic with a willingness and ability to use initiative to assist the organization to achieve its objectives.

TERMS AND CONDITIONS

This vacancy is open to local nationals, permanent residents, or those residents with a valid residency/ working permit of the duty station.

The selected candidates will be offered a contract for 12 months, with the possibility of an extension based on satisfactory performance and funding availability.

The annual basic salary level for this support position is USD 23,580.00.
