FACS Coordination and Programme Support Specialist

Eligibility criteria

Minimum age: 25 years old. Nationals of the country of assignment are not eligible, except the assignments in Headquarters duty stations.

Description of task

The UN Volunteer FACS Coordinator and Programme Support Specialist will work within the delegated authority and under the supervision of Food and Agriculture Programme Head or his/her designated mandated representative(s).

He/she will also work closely with the Technical Advisor and the Green Commodities Programme Communications Lead. In the course of the assignment he/she will also liaise with the other GCP´s team members and advisors, UNDP Regional Hubs and Country Offices staff, partners agencies focal points and donors.

The UN Volunteer will undertake the following tasks:

  1. UNDP FACS team Coordination:
  • Assist in the development and effective implementation of coordination mechanisms among UNDP relevant teams.
  • Support with meeting´ arrangements including scheduling, agenda drafting, delivery, minute taking and report drafting; this will include FACS monthly coordination calls, one on one meetings, and any other related calls.
  • Assist in organizing events and virtual workshops from planning to implementation.
  • Work closely with the Green Commodities Community team to support the GCC´s broadening to cover UNDP FACS´ portfolio.
  • Support in annual planning processes.
  1. FACS related research and resource mobilization:
  • Support in the FACS portfolio review focused on projects and impacts.
  • Assist in research on possible donors and fundraising opportunities.
  • Assist in preparing and reviewing draft research reports, and donor oriented presentations and materials.
  • Provide support in concept notes and proposals writing as and when needed.
  1. FACS team Internal and External Communications
  • Support internal communications needs and ensure flow of information and dissemination of material amongst UNDP as needed.
  • Assist in the production of information and outreach materials related to FACS for different purposes and audiences as needed, ensuring quality and timeliness of materials produced (e.g. blogs, stories from the field, media backgrounders, speeches, presentations, infographics, photo stories, social media content etc).
  • Support on the respond to ad-hoc requests for information from UNDP HQ, partners and other external parties, including the media.
  • Ensure the FACS´ Team site is kept up to date and active, posting relevant news and information on it.
  • Maintain well-designed filing system on SharePoint and/or Teams Site. Ensure that the FACS space of UNDP´s Internet is kept up to date.
  • Ensure flow of information and dissemination of materials amongst UN partners agencies and donors, as relevant.
  1. Reporting UNDP and Donors in relation to activities carried out in relation to FACS
  • Support in the drafting of monitoring and donor reports to ensure that they are timely produced and conform to quality requirements.
  1. GCP Programme Management support:

  • Assist in other project management tasks and support project team members, as and when needed.Assist with travel/mission arrangements and preparation of travel and expenditure claims.
  • Support with visa processes and requirements needed for team members missions.
  • Assist in other administrative tasks, as needs be.

Furthermore, UN Volunteers are required to:

  • Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day);
  • Be acquainted with and build on traditional and/or local forms of volunteerism in the host country;
  • Reflect on the type and quality of voluntary action that they are undertaking, including participation in ongoing reflection activities;
  • Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.;
  • Assist with the UNV Buddy Programme for newly-arrived UN Volunteers;
  • Promote or advise local groups in the use of online volunteering, or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible.
Qualifications/Requirements Required degree level: Master degree or equivalent Education - Additional Comments:
  • Masters or postgraduate university degree in International Studies, , Development studies, Environment Science, Agriculture, Management or other related fields
Required experience: 36 Months Experience remark:

A minimum of 3 years proven experience in sustainable development project management support related functions (Planning, reporting, research, etc.).

  • Experience in coordination of projects with different partners/agencies involved.
  • Experience supporting implementation of communication strategies and plans that involve print, video, events, media engagement and social media.
  • Experience in research and resource mobilization will be an advantage.
  • Experience in donor reporting will be an advantage
  • Experience in supporting projects and initiatives related to agricultural commodities will be an advantage.
  • Experience with UNDP and/or other UN organizations will be an advantage.
  • Excellent interpersonal skills; culturally and socially sensitive; ability to work inclusively and collaboratively with a range of partners, including grassroots community members, religious and youth organizations, and authorities at different levels; familiarity with tools and approaches of communications for development;
  • Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multicultural team of international and national personnel;
  • Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.) and email/internet; familiarity with database management; and office technology equipment;
  • Have affinity with or interest in sustainable Development, volunteerism as a mechanism for durable development, and the UN System.
