Responsibilities
Job Summary
We are looking for an ambitious Staff Administration Assistant to join the Human Resources team. Your role will be extremely important as you will be responsible for creating a positive employee experience throughout the tenure of staff members by providing high quality advice and services related to benefits and entitlements of employees.
Main Responsibilities
The Staff Administration Assistant will be responsible for the administration of the coming-on-board process for new staff members relating to their travel, benefits and entitlements. This position will also require strict confidentiality with highly sensitive employee information. The successful candidate will conduct yearly dependency reviews in line with the applicable legal framework of the OPCW to ensure and maintain up-to-date information from staff members relevant for their benefits. This role will involve maintenance of personnel files, HR databases as well as absence management by carrying out leave audits twice a year. This role requires strong communication and analytical skills to provide excellent customer service and develop a positive rapport with staff. Strong organisational and time management skills will be required in order to manage multiple priorities in a fast-paced deadline driven environment.
Finally, you will act as focal point for the OPCW Internship Programme, including preparing internship packages, inducting new interns, answering queries of interns related to their internship package, and preparing separation documentation at the end of internships.

Qualifications and Experience
Education
You should have a high school diploma or equivalent diploma of higher secondary education.
Desirable: Additional training/courses from a recognised educational institution in the area of personnel administration.
Knowledge and Experience
Make sure you have at least 3 years of related experience, with one year in the area of human resources and demonstrated experience in a customer-servicing role.
Desirable: Previous work experience within an international organisation and experience in the area of UN benefits and entitlements are highly desirable.

Fluency in English is essential and a good working knowledge of one of the other official languages (Arabic, Chinese, French, Russian, and Spanish) is desirable.
Additional Information
Staff members in the General Services category are normally recruited and paid on a local basis.
This appointment is for the duration of two years, with a six-month probationary period, and is subject to the OPCW Staff Regulations and Interim Staff Rules.
The Director-General retains the discretion to not make any appointment to this vacancy, to make an appointment at a lower grade, or to make an appointment with a modified job description. Several vacancies may be filled.
