Eligibility criteria

Minimum age: 25 years old. Nationals of the country of assignment are not eligible, except the assignments in Headquarters duty stations.

Description of task

Taking into account the dynamic nature of the post-Berlin process, urgent support is needed to assist UNSMIL to convene future meetings related to the security, political and economic tracks. The initial needs will have to be complemented as the different tracks advance. Strategic early efforts by UNDP are required to keep up the momentum of the process.

Coordination and logistical support to the 5+5 Joint Military Commission, the Libyan Political Dialogue Forum and the Libyan Expert Economic Commission and their related confidence and consensus-building meetings and/or working groups will be required. UNDP will be responsible for ensuring that the technical and organizational needs for all meetings are met. Under the overall coordination of the Project Manager and in close coordination with UNSMIL, the UN Volunteer (UNV) will provide logistics, coordination, support for the meetings and any subsequent related work streams.

Additionally, the UNV will support the Project Manager to conduct activities related to the overall implementation of the project.

  1. Logistics for Event Planning
  • Prepare plans and checklists for the organization of all meetings/events according to operational needs;
  • Management of the entire logistical and organisational aspects of meetings/events, from identification of venues, liaison with hotel/venue/travel agents/other suppliers and interpreters regarding all arrangements following UNDP procurement rules;
  • Liaison with UNSMIL, participants and other partners regarding visa applications for participants as required;
  • Assistance with printing for event materials, including communications outputs before, during and after the event (may include work with translation);
  • Ensuring very clear and timely communications with all interlocutors: UNSMIL, project staff, participants, guests, speakers, etc. ensuring all participants have up to date and necessary information regarding the event details and their participation;
  • Maintain an understanding of all contractual and financial matters regarding the events, including the disbursements of payments to suppliers, contractors and reimbursements of participants’ costs.
  • Other ad hoc tasks related to the smooth running of events and other project developments as and when they arise.
Qualifications/Requirements Required degree level: Master degree or equivalent Education - Additional Comments:
  • Additional qualifications in project management, such as certifications is an asset.
  • Proficiency in MS Word, Excel, Power Point and Outlook is required.
Required experience: 60 Months Experience remark:
  • At least five years of progressively responsible experience in logistics, event management, conference services or any other related field.
  • Experience working in a conflict-affected country is highly desirable.
  • Relevant experience in international organization or nongovernmental organization- in a conflict or post-conflict setting is highly desirable.
  • Proficiency in MS Word, Excel, Power Point and Outlook is required.
Language skills:
  • English(Mandatory), Level - Fluent
