1.      Organizational Context

 

  1. Organizational Setting

     

    The position is located at the Protocol and Event Management Division, Office of the Director General and Related Programs.  The Protocol and Event Management Division is responsible for the overall planning, direction and supervision of the full range of protocol and events services, and diplomatic liaison with representatives of Member States, Permanent and Observers Missions to WIPO, as well as other official partners.

     

  2. Purpose Statement

     

    The Event Planner provides day-to-day support to the Director, Protocol and Event Management Division, in the organization of events and coordinates with internal and external stakeholders for the efficient and timely implementation of events.

     

  3. Reporting Lines

     

    The incumbent works under the supervision and reports directly to the Director, Protocol and Event Management.

     

     

2.     Duties and Responsibilities

 

The incumbent will perform the following principal duties\:

 

a.  Liaise with representatives of WIPO stakeholders (Member States, NGOs and IGOs) and coordinate arrangements relating to the organization of regular events on WIPO premises including National Day celebrations, WIPO General Assembly events, side-events during WIPO Committees and individual exhibitions by artists;

 

b.  Follow up with WIPO stakeholders on the preparation of events, identify their needs and monitor the level of service provided, bringing short falls to the attention of the supervisor;  draft standard reply letters to incoming requests, prepare invitations, review technical requirements for cultural events with suppliers, and manage the setting up and dismantling of exhibitions;

 

c.  Conduct pre- and post - event evaluations and report on outcomes including recommending improvements and modifications;

 

d.  Assist the Director, Protocol and Event Management Division, in monitoring the Division’s activities and expenditures;

 

e.  Assist the Director, Protocol and Event Management Division, in researching and drafting content for IP themed exhibitions;

 

f.   Assist in Protocol related activities when required, including receiving Ambassadors and other VIPs visiting WIPO and official hospitality preparations;

 

g.  Perform other related activities when required.

 

 

3.     Requirements

 

Education

Essential

First-level university degree in event management or a related field.

 

Experience

Essential

At least three years of experience in event management with a demonstrated sense of customer service.  An advanced university degree may be accepted in lieu of two years of experience.

 

Language

Essential

Excellent knowledge of written and spoken English or French and good knowledge of the other language.

 

Desirable

Knowledge of other UN official languages.

5.      Information

 

Mobility\:  WIPO staff members are international civil servants subject to the authority of the Director General and may be assigned to any activities, office or duty station of the Organization.  Accordingly, the selected candidate may be required to move from time to time to new functions and/or to another duty station.

 

Annual salary\:

Total annual salary consists of a net annual salary (net of taxes and before medical insurance and pension fund deductions) in US dollars and a post adjustment.  Please note that this estimate is for information only.  The post adjustment multiplier (cost of living allowance) is variable and subject to change (increase or decrease) without notice.  The figures quoted below are based on the January 2020 rate of 77.4%

Salaries and allowances are paid in Swiss francs at the official rate of exchange of the United Nations.

Additional Information

 

Initial period of two years, renewable, subject to satisfactory performance.  No fixed-term appointment or any extension hereof shall carry with it any expectancy of, nor imply any right to, (further) extensions or conversion to a permanent appointment.
