Eligibility criteria

Minimum age: 25 years old. Nationals of the country of assignment are not eligible, except the assignments in Headquarters duty stations.

Description of task

Administrative assistant works under direct supervision of the Chief MSC and undertakes the following tasks:

  • Provide support to the Chief MSC in administrative, HR and management issues;
  • Coordinate the induction and departure process for civilian, military and police staff.
  • Schedule meetings and conferences; organize appointments, interviews, video teleconferences, hospitality and social events;
  • Manage the contact database for the office and update records regularly;
  • Produce and disseminate correspondence, memos, circulars/broadcasts, letters, faxes, emails, organizational charts, reports and presentations, assisting with office translation and interpretation services;
  • Develop appropriate filing system for the office and maintain the records regularly;
  • Review and approve requests for office supplies and furniture for the sections, the police and the military; Receive supplies and ensure replenishment;
  • Arrange travel, movement of personnel processes, keep attendance and schedule leave of staff members. Manage sick and emergency leave requests for staff members;
  • Provide general guidance and support to visitors and staff members requiring the office service;
  • Perform any other office administration tasks and related activity, as deemed appropriate by the Chief MSC.
Qualifications/Requirements Required degree level: Technical/Vocational diploma Education - Additional Comments:

High school diploma or equivalent is required.

Required experience: 36 Months Experience remark:

A minimum of three (3) years of progressively responsible experience in delivering administrative and human resources services and client support is required. Experience with drafting memoranda and with providing administrative support to senior managers is required. Experience taking notes is required.

Language skills:
  • English(Mandatory), Level - Fluent
Area of expertise: Logistics and supply management, Administration and administrative assistance Area of expertise details:

Upper-intermediate or Advanced level of Microsoft Office (Outlook, Word, Excel and PowerPoint) is required.

Experience with Enterprise Resource Planning (ERP) such as SAP or UMOJA is desirable

Working knowledge of French is highly desirable.
