Eligibility criteria

Minimum age: 22 years old. Applicants must be nationals of or legal residents in the country of assignment.

Description of task

Under the direct supervision of the National Project Manager and guidance of the Programme Manager, the Programme Assistant will provide effective and efficient support for the implementation of programme activities and tasks. The Programme Assistant must preserve full confidentiality and professionalism in all aspects of the assignment, maintenance of protocol procedures, and management of information flows. The key responsibilities of the Programme Assistant are as following:

  • Support Administrative Issues for smooth Project Implementation focusing on achievement of the following results:
  • Support the National Project Manager on any tasks linked with the Project Implementation.
  • Provide necessary support to the National Project Manager up-to-date work schedule of the project developed and maintained by the National Project Manager;
  • Manage following tasks:
    1. Organize meetings, workshops, seminars and trainings as well as any other events requested by the Project Manager, including securing the venue, arranging tickets and all related logistics, as well as write event reports and other Logistics Notes;
    2. Facilitate accommodations, DSA and any other necessary support for the participants and team members;
    3. Support the Programme in preparing mission planning, following up approval process for both UNDP and the authorities concerned;
    4. Support team members in preparation of necessary documents after the return from mission of team members;
    5. Manage administrative issues such as office administration, travel, communication, entitlement and any other matters as and when required
  • Assist the National Project Manager in project discussion with Government, Donors and other counterparts and prepare minutes of meetings
  • Any other related tasks as may be required or assigned by the supervisor.
Qualifications/Requirements Required degree level: Bachelor degree or equivalent Education - Additional Comments:

Bachelor’s degree in Management, Administration, Accounting, Humanities, Media or related field is required

Required experience: 24 Months Experience remark:

At least 2 years of professional work experience in managing projects and administrative assistance

Language skills:
  • English(Mandatory), Level - Fluent
  • Arabic(Mandatory), Level - Fluent
Area of expertise: Development programme/project administration Area of expertise details:
  • At least 2 years of professional work experience in managing projects and administrative assistance;
  • Excellent oral and written skills; excellent drafting, formulation, reporting skills;
  • Accuracy and professionalism in document production and editing;
  • Excellent interpersonal skills; culturally and socially sensitive; ability to work inclusively and collaboratively with a range of partners, including grassroots community members, religious and youth organizations, and authorities at different levels; familiarity with tools and approaches of communications for development;
  • Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multicultural team of international and national personnel;
  • Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.) and email/internet;
  • Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines;
