1.      Organizational Context

    

  1. Organizational Setting

     

    The position is located in the Protocol and Event Management Division, Office of the Director General and Related Programs. The Protocol and Event Management Division is responsible for the overall planning, direction and supervision of the full range of protocol and events services, and diplomatic liaison with representatives of Member States, Permanent and Observers Missions to WIPO, as well as other official partners.

     

  2. Purpose Statement

     

    The incumbent independently handles a broad range of tasks that constitute a major part of the work related to the logistics of events, particularly catering-related needs and services.

     

  3. Reporting Lines

     

    The incumbent works under the supervision of the Event Catering Assistant, who reports directly to the Director, Protocol and Event Management Division.

     

 

2.      Duties and Responsibilities

  

The incumbent will perform the following principal duties\:

    

 

a.   Based on the assessed catering related needs and activities during WIPO Committees and official Meetings, organize coffee breaks and working lunches that comply with the identified cultural and dietary needs and restrictions of stakeholders as well as other requests. Ensure compliance with internal procedures, facilitate the consistent provision of excellent service and bring non-compliance or other issues to the attention of the supervisor.

 

b.   Follow up with relevant internal colleagues as required to facilitate the timely and appropriate delivery of catering services.

    

 

c.   Coordinate external temporary/interim catering staff, provide information and guidance on internal procedures including those related to the Organization's health, safety and hygiene practices, monitor catering operations and outsourced staff performance, and assist the supervisor in resolving problems.

    

 

d.   Follow up with external service providers for the hiring of additional staff as instructed. Carry out preliminary research for the identification of new potential caterers.

    

 

e.   If required, work after-hours to continue the provision and delivery of required catering needs and services.

    

 

f.    Perform other related activities when required

   

 

3.      Requirements

   

Education (Essential)

 

Completed secondary, technical or vocational school.

   

Experience (Essential)

 

At least three years of experience in catering operations with excellent customer service record.

   

Language (Essential)

 

Excellent knowledge of written and spoken English or French and good knowledge of the other language.

    

Language (Desirable)

 

Knowledge of other UN official languages.

    

Job Related Competencies (Essential)

 

Ability to work under pressure and to deadlines and to effectively coordinate event-related catering activities associated with large scale official events.
Excellent interpersonal skills and ability to maintain effective partnerships and working relations in a multicultural environment with sensitivity and respect for diversity.
Competent user of Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and the Internet.
Candidates must be customer-oriented, well presented and able to work after-hours if required.

5. Information

Monthly salary (Net of tax)\:  5 728,CHF

General Service posts are subject to local recruitment.  Staff in the General Service category are recruited in the host country or within reasonable commuting distance of the Headquarters.

 

Temporary appointments are renewable, subject to continuing needs, availability of budget and satisfactory performance with a maximum cumulative length of two years.
