Job Description

The Emergency Preparedness (EP) Team is part of the IRC’s Emergency and Humanitarian Action Unit (EHAU). The EP Team works with IRC Country Programs and 400+ Country Emergency Team members in order to complete Emergency Preparedness Planning and Capacity Strengthening for locally-driven and led emergency responses. The Emergency Preparedness Framework aims for the IRC to provide ‘Better, Faster, and More’ services to communities affected by conflict and disaster through a coordinated and intentional Emergency Preparedness Process.

Scope:

In the five years since the EP team’s inception, the team has designed and improved a wealth of tools and resources for IRC’s country programs around the world. In order to ensure that our team is best positioned to support these programs, the EP team needs a streamlined internal knowledge management strategy and a refreshed digital records management system to centralize and taxonomize our workproduct for internal and external stakeholders.

The EP Knowledge Management Intern will focus on formalizing the team’s knowledge management. They will review the team’s current knowledge management practices and, if needed, develop a new strategy. They will then create an improved digital records management system.

The EP Knowledge Management Intern will report to the Emergency Preparedness Program Manager. The Intern will also maintain a close working relationship with all members of the EP team. A collaborative working relationship with other EHAU staff is also required.

Responsibilities:

  • Design a collaborative process to review of the EP team’s current internal and external knowledge management system;

  • Review current information flows and interview stakeholders to determine the needs of the team;

  • Based on this review, develop a knowledge management strategy that meets the needs of the EP team;

  • Create a recommended digital records management system from that knowledge management strategy;

  • Orient EP team members to new digital records management system to ensure consistent use;

  • Other duties related to emergency preparedness as assigned.

Learning Outcomes

At the end of the designated period, the intern will be able to:

  1. Develop a collaborative process for reviewing knowledge management use at an INGO;

  2. Contextualize information and knowledge management principles to an international emergency preparedness and response organization;

  3. Develop a comprehensive knowledge management strategy to streamline business processes for a global team of humanitarian professionals;

  4. Design and create a digital records management system that meets the business needs of an INGO;

  5. Apply new technologies and software related to internal INGO organizational knowledge management;

  6. Understand IRC operations systems and procedures in order to increase future job readiness;

  7. Understand emergency preparedness work across the IRC and its impact on a variety of stakeholders.

Qualifications

  • Currently enrolled graduate student in information systems, library science, or similar academic program;

  • Strong organizational skills;

  • Strong oral and written communications skills (English);

  • Ability to work independently and without close supervision;

  • Demonstrated ability to work closely with a range of stakeholders;

  • Creative systems thinker, effective communicator and active problem solver;

  • French language skills an advantage (not required).
