Location: Dakar/Senegal

SOS Children’s Villages International is the umbrella organisation for the global federation of SOS Children’s Villages. As a non-governmental social development organisation we help children without parental care and families in difficult living conditions through services in care, education, health and emergency relief, and we advocate for children’s rights. We work in 136 countries and territories, reaching over one million children, young people, families and caregivers each year. To support us with this important responsibility we are now looking for a committed:

Executive Assistant (f/m)

Location: Dakar/Senegal

Tasks and Responsibilities

The Executive Assistant works under the supervision of the International Director of Region (IDR) and dotted line to the Program Strategy and Executive Management Advisor.
S/he will be the right-hand man or woman who provides direct support to the IDR managing his schedules and setting up appointments. S/he plans, organizes, coordinates, and controls all administrative and operational procedures, activities, and documentation of the IDR International.                                 
The Executive Assistant is a benefit for the organization’s success. Acting as gatekeepers
and problem solvers, s/he keeps the IDR organized, boost morale, and increase productivity. Being a bridge at several levels, between the IDR and many internal and external stakeholders, s/he possesses key information that helps the IDR takes decision for the best interest
of the organization.
Further responsibilities will be to:

  • Coordinate the secretarial services of the IDR, assign priorities, monitor work in progress and control deadlines as well as assess and resolve related problems
  • Attend key meetings between the IDR, SOS staff, and/or external donors and allies. Take and circulate minutes to key persons and prepare follow-up steps
  • Support the organization of high-level events, visits of the Management team as well as Management regional meetings as per the annual calendar of meetings
  • Support IDR time management through reading, researching, and producing reports and documents
  • Maintain the IDR’s calendar and schedule appointments and meetings and make tentative appointments on his behalf; brief the IDR on matters to be considered prior to scheduled meetings
  • Contribute to team effort by accomplishing related results as needed and being an active and supportive member of the Regional Management Team
  • Take on specific projects as assigned involving small research, analysis, writing and external representation
Requirements
  • University degree in business administration or related field, preference for post-graduate qualifications
  • Minimum 2 years of work experience as Executive Assistant in a multi-cultural environment
  • Project management skills
  • Excellent written and spoken English and French
  • Good command of Office Package (Word, Excel, PowerPoint etc.)
  • Positive and professional approach: willingness to learn, highly organized, commitment to deadlines, results focused, strong analytical skills, and independent / self-motivated
  • Excellent interpersonal, presentation, communication and negotiation skills
  • Willing to support SOS CVI’s vision, mission and values
