Organizational Setting


The Shared Services Centre (SSC) recommends and administers process management and procedures that need to be executed effectively; ensure the management of quality assurance activities associated with the transactional processes and implementation of service delivery; continuously improve the satisfaction of its customers, internal or external, while pursuing a continuous improvement agenda that will drive up service excellence while driving down the costs of service delivery through process standardization, process automation and self-service capabilities.

The post is located in the Shared Services Centre (SSC) in Budapest, Hungary.

Reporting Lines

The Travel Operations Officer reports to the Chief, SSC

Technical Focus

Management of quality assurance activities and service delivery of travel and shipping processes performed

Key Results

The delivery of travel services, shipping and related transactions in accordance with FAO rules, regulations and entitlements.

Key Functions
  • Supervises the processing of travel advances and travel expense claims, validating outstanding amounts for recovery and overseeing all travel query responses and emergency payments;
  • Controls and approves payments of invoices related to the unit that have been processed, in conformity with allowances, Under delegation of authority from the Chief, CSS and in accordance with FAO's rules and regulations;
  • Oversees shipping and insurance related invoices against FAO travel policy, entitlements, and supplier contract cost stipulations;
  • Identifies issues of relevant systems and proposes corrective actions and improvements to increase efficiency and effectiveness of operations;
  • Provides technical guidance and advice to travellers, travel-system users, regional and field offices, acting as a focal point for interpretations and applications of pertinent travel rules, procedures and policies as well as for resolutions of complex cases and exceptions;
  • Develops and maintains all travel and shipping operations procedures and guidelines on-line;
  • Identifies, reviews and makes recommendations on required changes to travel operations procedures or related matters, keeping procedures and the FAO Manual section updated;
  • Prepares periodic and ad-hoc management reports including productivity and efficiency statistics;
  • Monitors the implementation of Service Level Agreements targets;
  • Supports and advises staff and management as appropriate to improve relations, maintain/achieve consensus and resolve issues;
  • Maintains high level of customer satisfaction as demonstrated by periodic customer satisfaction surveys;
  • Coaches and supervises assigned staff and provides training as appropriate;
  • Performs other duties as required.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements
  • Advanced University degree in business administration, finance, accounting or related field
  • Five years of relevant professional experience in administration, travel or financial controls
  • Working knowledge of English and limited knowledge of Arabic, Chinese, French, Russian or Spanish

  • Extent and relevance of experience in international travel administration, accounting or finance

  • Work experience in more than one location or area of work, particularly in field positions is desirable
  • Working knowledge of English is considered an asset
