Duties and responsibilities
Generic responsibilities
Adhere to NRC policies, tools, handbooks and guidelines
Assist with the implementation of the Logistics portfolio according to plan of action
Prepare and develop status reports as required by management
Ensure proper filing of documents
Promote and share ideas for improvement of the Logistics function
Manage the day-to-day fleet and logistics activities at country office and line manage and support the assigned Drivers.
Act as focal point for all fleet and assets/warehouse related activities at country office and coordinate with concerned departments, field offices when needed.
Carry out related mainstreaming of protection in programme daily implementation as per the set NRC’s Protection mainstreaming guidelines, and ensure reporting any breaches/concerns to the line manager for proper action
Specific responsibilities
Manage the fleet and organize the trips of NRC Beirut office staff by preparing the daily movement plan and allocating the drivers accordingly while ensuring a continuous communication on updates and changes
Ensure that all NRC vehicles are well equipped and in proper operating condition. Coordinate vehicle maintenance with the car rental company.
Keep track on all NRC Beirut vehicles by using the GPS system to ensure the efficiency of the daily movement and maintain all vehicle records including reports in case of accidents and /or breakdowns.
Ensure that private use of vehicles by expats is monitored, payment sheet is prepared monthly, and payment is shared with relevant parties.
Perform weekly spot checks on vehicles. Collect and validate vehicles’ weekly checks
Provide anti-corruption, transparency and cost efficiency focus in all processes related to fleet and assets management and coordinate with the Logistics Manager to optimise safety and cost effectiveness of the NRC Beirut fleet.
Register new purchased assets/inventory, update Assets Registry, prepare assets transfer forms, and upload needed data on Agresso system.
Conduct Physical count for assets in Beirut office and prepare disposal plans when necessary.
Qualifications
Minimum 1 year of relevant job experience in a similar role, preferably within the humanitarian sector
Proficiency in Microsoft Office applications including Word and Excel
Fluency in English and Arabic, both written and spoken
