About the job

To ensure that Admin issues in the office are handled in an effective and professional manner. Work closely with other support departments to ensure smooth running of operations. Liaise with local authorities regarding administrative and finance issues with office set-up and operations. Your main duties and responsibilities will be:

 

  • Maintain Office and Guesthouse (GH) contracts. Maintain a tracker for all properties including programs and sending out reminders for payments, renewals and notice periods.
  • Issue/keep files for all Admin related service contracts.
  • Manage IT issues locally, seeking guidance from Project Manager and Logistics in Erbil as needed.
  • Issue and file DRC letters to Government, agencies or non-governmental agencies as required.
  • Translate formal letters to/from English/Arabic/Kurdish.
  • Conduct/follow up state/national electricity and water bills.
  • Conduct/follow up on DRC/DDG’s own generators at both office and guesthouse, acquiring monthly services where required.
  • Supervise the upkeep and maintenance of DDG premises including managing any service contracts for maintenance.
  • Maintaining paperwork such as POR & PR, documentations for all the above payments.
  • Assist the Project Manager in managing cleaners and guards.
  • Assist the Project Manager in managing any needed accommodations for visitors and staff.
  • Manage consumable store, track inventory, and make order requests for necessary items.
  • To maintain the office bulletin board ensuring that office procedures and decisions are communicated to all staff in a timely and efficient manner.
  • Account for basic finances and keep a basic book keeping book/spreadsheet.
  • Communicate directly with DRC/DDG’s finance manager to arrange cash advances for the office.
  • To support staff with ID cards and ensure that staff receive monthly phone credit in a timely fashion.
  • Photocopying, scanning and other office work as required to fully your duties.
  • Ensure supplies are always kept at a reasonable level and add essential supplies to ensure supplies do not run out.
  • You will report directly to the Project manager and will carry out all duties assigned to you by the Project manager.

 

 

 

 

About you

To be successful in this role we also expect the following:

 

Required

  • A minimum of one years’ relevant experience in a similar position.
  • Strong interpersonal and communications skills with a proven ability to work with a wide range of managers and staff members.
  • Strong written and mathematical skills.
  • Good attention to detail and ability to work under timed pressure.
  • Experience of working with Non-Governmental Organizations is desirable.

 

Desirable

  • Able to work independently and energetically.
