The International Potato Center (CIP) is seeking an experienced and committed professional to fill the position of Finance and Administration Coordinator for a hosted organization, Bioversity International.

 

Bioversity International: Is a global research-for-development organization established in 1974. Its mission is to deliver scientific evidence, management practices and policy options to use and safeguard agricultural and tree biodiversity to attain sustainable global food and nutrition security. Bioversity International’s vision is that agricultural biodiversity nourishes people and sustains the planet. It is present in 35 countries around the world.

 

The Position: This position will be based in Lima, Peru and will report to the Bioversity Country Representative or designee, and will be co-supervised by the Bioversity Finance Manager.

Key Responsibilities:

 

·         Carry out financial management tasks for Bioversity-Lima office:

.          Assist with preparing and monitoring the annual office budget.

.          Review invoices and support documentation

.          Liaise with CIP for payments and petty cash

.          Prepare claims documentation and submit them to Bioversity HQ for reimbursement

.          Review and verifying financial reports from CIP and forward to Bioversity HQ

.          Prepare the Bank and Imprest funds reconciliation for Bioversity-Lima office

·         Support Grant Managers

.          Assist with preparation and clearance of research agreements with partners

.          Assist with preparation and clearance of complementary staff contracts

·         Make logistical arrangements for meetings, seminars, conferences

·         Organize office staff duty travels including:

.          Booking of flight and hotel,

.          Prepare travel authorization (TA) requests,

.          Process visa requests

.          Process and finalizing travel expense claims (TEC)

.          Prepare of travel reimbursement requests

.          Assist with payments of travel advances in case of need

·         Provide advice to staff on administrative and financial procedures as they relate to Lima office operations and liaise with Bioversity HQ as required;

·         Keep updated the filing and archiving system of Bioversity-Lima records;

·         Prepare procurement requests and seek required approvals;

·         Carry out general administrative tasks related to office supplies;

·         Liaise with CIP administration on issues related to Bioversity finance and administrative requests.

·         Update and monitor Bioversity-Lima’s asset register and tag fixed assets;

·         Perform any other duties deemed necessary for the office management.



Requirements

What are we looking for?

 

•         Bachelor’s degree in Finance, Bank, Economics or any related field. 

•         At least 3 years of relevant professional experience in Administration and Finance.

•         Excellent written and verbal communication skills in English and Spanish.

•         Knowledge of PCs and Microsoft Office products (Word, Excel, PowerPoint, Outlook).

•         Strong communication and ability to work in a multidisciplinary and multi-cultural environment.

•         Be able to work under pressure and be efficient with minimal supervision.

•         Strong multi-tasking abilities and problem-solving skills.
