Organizational Context 

The IDLO Finance Department is an integral part of the project team which seeks to ensure financial integrity with goal of realizing high level of transparency and accountability in the execution of various donors’ projects. The Finance Department places high value on producing accurate and auditable financial reports for all its stakeholders.

The Position

The Finance Assistant report directly to the Finance and Admin Manager Liberia. S/he will support financial management in the country office.

Summary of Functions:

  • Provide support in the preparation of payroll, daily finance operation including data entry and filing
  • Assist the Finance and Admin Manager in completing all financial tasks required for the financial month end process

Accounting & Financial 

  • Collect bank statements and prepare bank reconciliations at month-end.  Follow up on outstanding checks.
  • Assist the Finance and Admin Manager in preparing monthly budget versus actuals report 
  • Scan monthly financial supporting documents and upload files into IDLO SharePoint
  • Organize monthly financial supporting documents and courier to headquarters 
  • Assist in recording daily transactions in Navision
  • Assist in the preparation of national staff payroll.
  • Matching supporting documentation (Goods Received Note, Purchase Order, Purchase Request, Bid Analysis, etc) to vendor invoices, recalculating for mathematical accuracy, reviewing for proper account and grant coding and, when ready, processing payment.
  • Assisting in developing organizing and maintaining all filing systems (both physical and computerized) maintained by the Finance Office.
  • Maintain the petty cash and accurately code and record petty cash transactions 
  • Assist as required in special projects and/or research assignments or any such assignment from the Finance and Admin Manager or Country Manager
  • Assist Finance and Admin Manager in working with external and internal IDLO auditors
  • Perform any other similar duties as required by the supervisor. 

Ideal Candidate Profile

Education and Work Experience

  • Undergraduate university degree in Accounting and or Management, 
  • At least two years’ experience working in an accounting department with emphasis in accounting and administrative related roles 

Languages

  • Fluency in both written and oral in English.

Specific knowledge, skills and competencies

  • Attention to Detail and analytical skills
  • Sound understanding of bookkeeping
  • Good time management
  • Highly organised and deadline oriented.
  • High level of accuracy and attention to detail

TERMS AND CONDITIONS

For this locally recruited position, IDLO shall offer the selected candidate an Affiliate contract of one (1) year, with possibility of extension subject to performance and availability of funding. 

In addition, IDLO shall offer the candidate an annual basic salary in the range of USD 12000 , a leave and benefit package, in accordance with IDLO Employee Rules and Regulations
