1. Job description 

     1.1 Profile

       As a member of the Scientific and Operations team, the Scientific Operations Coordinator will report directly to the Head of Scientific Operations (HoSO) and will:

  • Contribute to the execution of call evaluations, grant preparations and the resulting projects;
  • Contribute to ensuring the operational efficiency of the operations team and the quality of all procedures, documents and information produced by the team;
  • Oversee the entire project cycle of the research projects launched by IMI2 JU as an expert, with a particular focus on the financial and legal aspects of project implementation
  • Support the HoSO in delivering on the objectives of the science team and in ensuring the smooth operation of the team by being responsible for key activities to be identified in conjunction with the HoSO.

     1.2 Tasks

      The tasks of the Scientific Operations Coordinator will include, amongst others, the following:

  • Provide an overview of the planning, management and monitoring of calls for proposals/tenders, the evaluation processes, the selection and the monitoring of launched projects;
  • Ensure adequate follow-up of issues related to project implementation and contractual obligations, particularly in relation to financial and legal aspects, including their proper communication to team members to ensure consistency;
  • Ensure that processes are fit for purpose and adhered to, that team members are trained and that the highest quality standards are maintained;
  • Support the Executive Director and the HoSO in their interaction with decision-making bodies;
  • Deal with horizontal activities, co-ordination and networking aspects of the research programme and its projects;
  • Participate in elaborating work programmes, strategic documents and new approaches;
  • Provide statistical and expert input for IMI2 JU papers, communications or other materials that concern IMI2 JU objectives and performance measurement;
  • Act as a Verifying Agent in relevant process steps;
  • Ensure the quality of all documents, reports and statistics relevant to the function;
  • Provide support to and mentoring of staff as requested.

       The successful candidate may be required to undertake other tasks and activities as necessary under the responsibility of the Head of Scientific Operations according to the evolution and development of IMI2 JU’s structure           activities.

   2. Qualification and experience required

     2.1 Eligibility criteria

     In order to be eligible, the candidate must:

  • Be a national of a member state of the European Union;
  • Enjoy his/ her full rights as a citizen;
  • Have fulfilled any obligations imposed by the applicable laws concerning military service;
  • Meet the character requirements for the duties involved;
  • Be physically fit to perform the duties linked to the post;
  • Have a thorough knowledge of one of the official EU languages and a satisfactory knowledge (at least B2 level) of another of these languages to the extent necessary for the performance of their duties (candidates are invited to specify in their CV possible language certificates they have obtained and which can demonstrate their language skills).

      At the closing date of applications, the candidate must:

  • Have a level of education which corresponds to completed university studies attested by a diploma when the normal period of university education is 4 years or more
  • OR
  • Have a level of education which corresponds to completed university studies attested by a diploma and appropriate professional experience of at least 1 year when the normal period of university education is at least 3 years; 
  • In addition to the above, at least 9 years of proven full-time appropriate professional experience.

Eligibility criteria must be fulfilled by the deadline for applications, and maintained throughout the selection procedure and appointment.

  3.   Selection criteria

Candidates will be considered for the selection phase on the basis of the following criteria to be fulfilled by the closing date for applications:

3.1 Essential criteria

  • Suitability to perform the tasks described in point 2.2;
  • Professional experience of at least 5 years in one or more relevant areas e.g. project management, implementation of European Framework programmes (e.g. FP7, H2020) or similar programmes, biomedical or pharmaceutical project management etc;
  • Proven track record in the supervision of complex and multidisciplinary projects involving multiple stakeholders;
  • Demonstrated experience in the implementation of the legal and financial aspects of a European Framework programme (e.g. FP7, H2020, etc);
  • Excellent communication skills and the ability to communicate effectively in English, both orally and in writing;
  • Demonstrated ability to coordinate and motivate staff.

3.2 Advantageous criteria

  • A university degree in law, finance, business administration or equivalent;
  • A qualification in a field relevant to the work of IMI2 JU (such as medical biosciences, pharmacy, medicine, chemistry, etc.);
  • Experience in ensuring quality in operational and financial transactions (e.g. as an Operational or Financial Verifying Agent, or similar).
