Organizational Background:

The World Food Programme Somalia activities include food assistance for relief, emergency school feeding, nutrition and food assistance for assets creation through provision of in-kind and cash-based transfers.

Duties and Responsibilities:

Under the direct supervision of the Administration/Finance Officer and overall supervision of the Head of Area Office, the incumbent will be responsible for the following duties:

  1. Record Assets and inventory items in the corporate database and regularly update the system to capture real-time movement of assets;
  2. Conduct quarterly review of asset records and compile list of old, obsolete/disposable items for the Area office and submit to Local Property Board for disposal action;
  3. Prepare and maintain records for new inventory items, verify against the Purchase Order, invoice and delivery note for assets purchases at the Area Office;
  4. Promptly raise Good Receipt Notes (GRN) in WINGS II; attach inventory labels on the procured assets/ inventory items and assign to the responsible units/users;
  5.  In coordination with the Asset team conduct physical count of Assets as per corporate timelines and make recommendations to Management accordingly;
  6. Ensure that any transfers of WFP property to government counterparts, cooperating partners, retailers and staff are duly approved and recorded in the WFP corporate system;
  7. Provide accurate update and proper accountability of SCOPE equipment monthly, maintain tracking sheet and forward certified and approved copy to liaison office;
  8. Maintain internal records for all assets and consumable items to ensure that stock levels are well monitored and replenished promptly;
  9. Review working conditions of assets and initiate formal repair/service requests while maintaining proper records for all services carried, supervise work carried out by contractors servicing WFP equipment;
  10. Act as Protocol Focal Point and liaise with government institutions for all official communications, including immigration and customs related services;
  11. Promptly and accurately prepare Purchase Requisitions, Service entry sheets/Goods Receipt Notes and Payments request for Administrative related services;

Minimum Qualifications:

Education:

Secondary school education. A post-secondary certificate in Administration or any other related functional field is desirable.

Experience:

At least four years of progressively responsible experience in general administration and at least one-year experience in inventory or asset management.

Language:

Fluency in both written and spoken English and Somali is a requirement.

Knowledge:

Demonstrates ability to perform routine administrative activities.  Experience utilizing computers, including word processing, spreadsheet and other software packages. Knowledge of WFP administrative regulations and rules, and WFP policies and procedures in work.
