Purpose of the Position

Under the supervision and guidance of the Child Protection Specialist, - UNICEF Tanzania, the incumbent supports the implementation , monitoring and reporting as per the Child Justice Work Plan signed between partners and UNICEF.

Key Expected Results

  • Provided Admistrative support to project officer with up to date monthly work plans and travel plans in timely manner and facilitated project implementation.
  • Provided the project teams with required all logistical support for implementation including timely availability of transportation for field work.
  • Availed the supplies required by the different project components plus other contracting services as required.
  • Provide all documentation required for implementation of project activities based on direct payment modalities and up to date filling system in place.
  • Provided timely direct cash payment to project stakeholder are required in field during implementation of the project.
  • Process and ensure timely payment of contractors, consultants and other third party stakeholders.
  • Funds for the project implementation is available and accessibly as required and safely kept with proper accounting records.
  • Participate in regular project implementation and monitoring visit to end-users.
  • Documented lessons learnt for project implementation especially on direct payment modalities for improved services delivery and replication to other projects.
  • Complied project narrative and financial reports on monthly ,quarterly ,bi-annual and annual reports

 

Key Accountabilities and Duties & Tasks

  • Ensures accuracy of computation and completeness of documents in line with policies and procedures related to UNICEF assistance. Carries out specific assigned tasks for the preparation of programme documents, as per approved Annual Project Workplan; and maintains programme accounts files for easy/timely reference/retrieval; draft on computer routine correspondence on cash and supply assistance with internal and external counterparts, and in assigned area of work.
  • Scrutinizes and process partner requests and claims for liquidation, reimbursements for the EQUALS programme. Ensures accuracy in raising documents for payments and advances based on project documents, and in conformity with established procedures.  In consultation with Project Officer/s, follow up by obtaining statement of accounts against advances, as and when required.  Regular use of the computerized financial system to prepare monthly statement of advances, giving detailed status for follow up
  • Undertakes preparation/processing of cash, supply, service and travel programme, documents all supply documents and maintains and updates records to monitor and control the flow and delivery
  • Facilitates programme/budget monitoring for assigned programme(s) in consultation with Project Officers. Undertake field visits for specified tasks and conducts spot checks on relevant partners. Updates workplan and relevant data/information on project implementation on advice of the project officers for inputs in meetings, and for reports and other documents. In consultation with the project officer/s and/or the Programme Assistant, maintain and consolidate programme financial information/data, monitor established internal controls, carries out corrective action as needed.
  • Provides general office support for EQUALS, arranges appointments, and maintains proper filing and indexing system of all correspondence, administrative directives, and policy documents and instructions. Participates in periodic programme meetings in the office and/or with partners for specified tasks. Organises meetings/workshops and provides support to external visitors to the programme.

 

EDUCATION:

  • Secondary School Certificate. Additional technical or university training in relevant areas will be an advantage.
  • Skills in documentation, processing of information, basic clerical skills, thorough knowledge of office procedures and systems; typing, filing and retrieval.
  • Relevant computer skills in Windows-based software office automation.

 

WORK EXPERIENCE:

  • Minimum Five years in related functions.

 

LANGUAGE:

  • Fluency in English and Kiswahili
