Position Objective
Under the guidance of the Head of Board Affairs and the Secretary to the Board, the position contributes to the end-to-end operational and logistics support for GCF Board meetings and governance engagements, ensuring high-quality participation experience for Co-Chairs, Board members and their advisors and Board appointed Committees, secure and timely document access, accurate membership/participation records, and smooth coordination across the Secretariat and independent units.
Input
Execute Intricate Transactions
* Provides operational and logistical support for Board meetings, including preparations, on-site coordination, and follow-up arrangements.
* Supports meeting operations by overseeing registration, room scheduling, virtual platforms, access arrangements, and ensuring the provision of required materials.
* Coordinates logistical support to Board Co-Chairs, and Board members and their advisers for their participation in the Board meetings and trainings, including travel arrangements, visa requirements and access to documents.
* Manages the observer accreditation cycle and the transmittal of communications on project and subproject disclosures in accordance with Board decisions and established procedures.

* Supports the Head of Board Affairs and the Secretary to the Board in managing essential communications to the Board and Active Observers, including meeting notices, procedural announcements, and updates to Board representatives.
* Contributes to coordinating logistical matters across the Secretariat’s offices and departments, and independent units for the effective operations of Board meetings.
* Manages logistical coordination of Board consultations, including for Board technical sessions.
* Serves as a point of contact for applicant observer organizations during the accreditation cycle, providing procedural guidance and updates.

* Contributes to maintaining and ensuring the quality control of Board membership databases, including transitions in Board membership terms.
* Prepares and contributes to the preparation of logistical documents and tracks and completes logistical checklists and critical paths for each Board meeting, including dependencies and deadlines.
* Processes information to address requests from Board members, their advisers, and observers.
* Maintains Board Affairs databases, platforms and other tools to assist the effective decision-making of the Board.
Requirements (Education, experience, technical competencies required of the job)
* Advanced university degree in law, international relations, diplomacy, environmental policy, economics, finance, sustainable development, climate policy or related fields; or a relevant bachelor’s degree with two (2) additional years of experience
* At least five (5) years of relevant work experience, such as governance servicing, executive operations, event delivery for high-level international bodies, conference services, protocol; experience working for international organizations and/or multilateral organizations is an asset
* Excellent written and oral English communication skills are essential for this position
* Ability to work under pressure, under strict timelines, demonstrating complex problem-solving with independent judgment and decision-making
* Good knowledge of office technology, such as the MS Office suite, SharePoint, as well as experience with Internet use and e-mail applications
* Strong teamwork and interpersonal skills, and highly developed cultural sensitivity in communicating with all levels of staff and external clients
