The Scope
The Admin Assistant  - Director People & Culture (m/f/d) plays a key role in supporting the leadership agenda of the function. This role goes beyond traditional administrative support and serves as a central coordination on hub between the Director and their direct reports across HR Business Partnering, HR Operations, Talent Acquisition, and Talent Management.
As a trusted partner, you will not only manage priorities and communication flows, but also apply strong project coordination and project management capabilities to ensure indicatives, decisions, and cross-functional actions are delivered on time and with clarity. You will contribute directly to the operational excellence, structure, and effectiveness of the People & Culture team.
Main Roles & Responsibilities
  • Partner with the Director to manage priorities, streamline decisions, and ensure strategic alignment.
  • Coordinate planning, tracking, and execution of People & Culture strategic initiatives and cross‑functional projects.
  • Maintain structured project management tools, timelines, and action plans to drive accountability and progress.
  • Prepare, document, and follow up on leadership meetings, ensuring clear communication and next steps.
  • Manage complex calendar coordination and align schedules with project milestones and organisational priorities.
  • Develop agendas, briefings, presentations, and project updates for senior stakeholders.
  • Draft and manage professional internal correspondence and act as a central point of contact for key stakeholders.
  • Support the Joint Works Council coordination, including documentation, follow-up, and tracking of agreed actions.
  • Maintain transparent tracking of commitments, deliverables, and deadlines across multiple workstreams.
  • Contribute to optimising team operations, improving processes, and supporting people‑focused initiatives that enhance culture and employee experience.
Your profile
  • Experience supporting senior leaders in a Personal or Executive Assistant capacity (HR or People & Culture experience is an advantage).
  • Demonstrated project management or project coordination experience, with the ability to manage timelines, stakeholders, and deliverables effectively.
  • Strong organizational and prioritization skills, with the ability to manage multiple parallel initiatives.
  • Experience working with employee representation bodies is a plus.
  • Excellent communication skills and high discretion.
  • Sound judgment, integrity, and comfort handling confidential matters.
  • Confidence using modern productivity, collaboration, and project management tools.

The Fine Print
  • Location: Bonn, Germany.
  • Working Hours: Full time - 40 hours per week.
  • Duration of Employment: Temporary contract - 2 years (extension possible, subject to satisfactory performance).
  • Starting Date: As soon as possible.
