Under the authority of the Head of General Services, the Audiovisual Manager is responsible for the smooth running and follow-up of all audiovisual services associated with events within the General Secretariat of the Organization and off-site conferences where their expertise is required. They ensure the preparation of administrative and technical documents, as well as project management of the expansion, improvement, or renovation of INTERPOL's audiovisual infrastructure. The Audiovisual Manager is also the administrator and audiovisual lead for all the Organization's conference and meeting rooms, Command and Coordination Centers, Collaboration Space, Auditorium, videoconferencing systems, streaming, and IP video, as well as associated audio and video recordings of all levels of confidentiality.
DUTY 1
The Audiovisual Manager is responsible for preparing, operating, coordinating, and technically organizing conferences. They serve as a liaison in this field between management, administrative and technical personnel, and external speakers and/or delegates, ensuring effective communication and collaboration among all parties involved.
- Carrying out preliminary technical assessments and studies in preparation for events that require the oversight of a Manager, both in INTERPOL Global Complex for Innovation (IGCI) and at international conference centers, including high-level meetings (General Assembly, Conference of Heads of National Central Bureaus, Executive Meeting, Lyon, Regional Bureaus, or other statutory meetings)

- Analyzing the audiovisual demands and needs of the organizer of a conference, visit, or any other event activity.
- Diagnosing the constraints, features, and equipment conditions of the host venue.
- Understanding the stakes of the event, whether they are economic, social, technical, cultural, or any other domain related to the Organization's interests.
- Conducting a technical feasibility study and translating it into technical specifications as needed.
- Gathering and prioritizing the collected information, analyzing the level of confidentiality of the relevant documents, and applying the adapted security policy.
- Designing an implementation plan and identifying the necessary equipment for the host venue.
- Identify the specificities of the event locations.
- Evaluating and propose compared solutions optimizing human, economic, and material resources.
- Evaluating the technical feasibility of the project.
- Designing a technical and organizational response adapted to the situation.
- Making proposals and adjustments.
- Implementing means of transmitting information and instructions between teams dedicated to a conference.
- Developing a workflow or methodology.
- Conducting technological surveillance related to the specific needs of each event.
- Implementation of conference preparation methods.
- Defining the material and human resources necessary for the technical organization of an event (transport time, availability, setup, implementation, dismantling, etc.).
- Designing a temporary audiovisual layout for the venue if necessary.
- Verifying that the implementation complies with the preliminary studies.
- Updating all synoptics and technical requirements.
- Providing technical supervision, under pressure, to a wide range of socio-professional interveners and delegates, covering both technical experts and high-level officials, such as ministerial representatives, police chiefs, or heads of state, on an international scale.
- Quantifying and ensuring the necessary time safety margins for the smooth running of any conference.
- Ensuring the technical coordination of linguistic interpretation personnel, assigning them their workstation, simplifying communication between interpreters and various conference services or participants, preparing the required technical configuration, and consulting with them on technical improvements to be made.
- Attending rehearsals and adjusting the technical means to the constraints of the event.
- Implementing a management system for recording and archiving conferences, in accordance with the Organization's privacy policy and the subject of the conference, as well as the sensitivity of the data of external speakers.
- Adapting instructions and services for visitors and delegates, taking into account the multicultural nature of the Organization.
- Directing and controlling the interventions of a team of technical staff, including stage, sound, and lighting technicians, from the host country, and ensuring compliance with work rules and regulations.
- Ensuring presence and availability throughout the entire duration of a conference, VIP meeting, Executive Committee meeting, operation, or critical situation.
- Anticipating the steps to be taken with stakeholders.
- Explaining the technical specifics and features of the host venue to participants and officials of the organization.
- The manager is responsible for supervising sound, lighting, interpretation, video projections, video and audio recordings necessary for streaming and video conferencing during the course of conferences, visits, or any other one-time events.
- Facilitating relationships between technical, logistical, administrative, and protocol teams by providing adapted technical solutions.

DUTY 2
Management of the technical and budgetary resources for INTERPOL's audiovisual equipment, integrating the General Secretariat in IGCI, Regional Bureaus, and Special Representations of INTERPOL :
- Establishing the annual roadmaps and corresponding budget forecasts.
- Drafting Technical Specification Documents.
- Ensuring compliance with the Technical Specification Documents for new audiovisual structures within the organization.
- Defining and implementing the necessary technological monitoring to track the professional audiovisual sector.
- Defining and submitting the priorities for purchasing, repairing, and renting technical equipment to the direct supervisor for validation.
- Preparing and writing weekly and annual activity reports that provide visibility into the entire audiovisual activity and anticipate evolving needs.
- Planning maintenance of equipment with associated service providers.
- Analyzing and validating quotes from service providers to advise on the most suitable suppliers and equipment for the Organization's needs.
- Validating the modernization or maintenance work carried out by service companies and ensuring their commissioning and follow-up.
DUTY 3
Providing level 1 and 2 audiovisual support services to the Organization's staff and users
Ensuring the permanent proper functioning of the audiovisual installations in the meeting rooms, training rooms, Cube, Auditorium, Command and Coordination Centre (CCC), Cyber Fusion Centre (CFC) and Collaboration Space.
- Interpreting and anticipating the needs of users in order to propose innovative and adapted solutions.
- Assisting and training users, as needed, on audiovisual services.
- Developing and documenting procedures for the use and maintenance of audiovisual equipment and systems.
- Offering advice and guidance to users on audiovisual services and equipment
Perform any other duties as required by the hierarchy/ Perform all tasks in accordance with the instructions received from the supervisor.
Education and qualification required:
- Extensive technical knowledge in conference management and simultaneous translation systems, audio and video, videoconferencing, and video over IP.
- Thorough understanding of how the professional conference sector operates.
- A relevant Bachelor’s degree in audiovisual fields, or at least 10 years of experience in a similar position.
Experience required:
- At least 5 years’ proven experience and expertise in a similar position.
- Proficient in the operation chain of professional audiovisual equipment.
languages:
- Excellent command of English is required, particularly technical English in areas related to their expertise (audio-video).
Abilities required:
- Recognized expertise in audio-video systems (control room, sound, lighting, recording, videoconferencing, satellite video, encryption, simultaneous translation, streaming, etc.).
- In addition to their technical skills, the position holder must demonstrate great availability, a strong ability to take initiative, and responsiveness across various areas of activity. They interact with all hierarchical levels of the Organization, as well as with speakers and other visitors. They are solely in charge during conferences, bearing significant responsibility for the smooth running of the event, and therefore directly accountable for its success.
- Excellent writing and summarizing skills to meet the requirements of the position in project management and project ownership.
- A strong sense of initiative: the manager must be constantly proactive in proposing improvements to existing procedures or in creating new ones.
- Strong knowledge of computer tools and their video interfaces.
- High personal maturity, excellent interpersonal skills, and the ability to work under pressure for periods ranging from several days to several weeks, particularly during events and conferences.
- The ability to delegate and supervise the work of technician contractors during a conference.
