Organizational Setting

The Shared Services Centre (SSC) recommends and administers process management and procedures that need to be executed effectively; ensures the management of quality assurance activities associated with the transactional processes and implementation of service delivery; continuously improves the satisfaction of its customers, internal or external, while pursuing a continuous improvement agenda that will drive up service excellence while driving down the costs of service delivery through process standardization, process automation and self-service capabilities.
Reporting Lines
The role is within the Shared Services Centre’s Head office, where the incumbent will operate as part of a team, responsible for the recruitment needs of the SSC. The supervision received will be focused on the quality of work output and the meeting of timelines and KPIs.
Tasks and responsibilities
• Support the overall hiring plan for hiring of national and international affiliate workforce.
• Develop and/or review Terms of Reference of affiliate workforce and ensure compliance with current standards and regulations.
• Coordinate and manage the publication of calls to attract candidates for vacancies related to national and international affiliate workforce, ensuring proper dissemination to attract qualified talent.
• Organize and facilitate the selection process, including coordinating interviews with the selection panel and preparing reports on evaluated candidates.
• Pre-screen applications and prepare analysis of the longlisted and shortlisted candidates for hiring managers’ review, administer functional tests for candidates as deemed necessary by the supervisor, and manage candidates in recruitment system
• Manage the complete cycle of contracts for national and international affiliate workforce in the Global Resource Management System (GRMS), ensuring the collection and verification of required documentation.
• Raise electronic Position Management (ePM) requests as necessary
• Supervise the validity of contracts for national and international affiliate workforce in and take appropriate measures in coordination with supervisors for renewal or termination as necessary.
• Provide administrative support, including recording worked hours for the payment of fees to national and international consultants and other related tasks.
• Prepare agenda and provides relevant documentation required for recruitment related meetings.
• Provide advice and answer general queries on recruitment and selection of staff.
• Initiate background check and request previous performance evaluation records to ensure completion of National Officer recruitment formalities.
• Collaborate in implementing actions to promote a respectful and harmonious work environment, aligned with the organization's values and commitments.
• Facilitate knowledge exchange and best practices within the office, promoting collaboration, continuous learning, and innovation.
• Assist in the performance evaluation process of national and international consultants, providing logistical and administrative support for the preparation and recording of their performance evaluation reports (QAR).
• Maintain confidentiality and handle sensitive information with discretion.
• Train and provide guidance to other human resources support staff in the work unit as necessary.
• Perform other tasks as required.
CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING
Minimum Requirements
• Secondary school diploma
• Three years of relevant experience in recruitment
• Working knowledge of English, French or Spanish and limited knowledge of one of the other two or Arabic, Chinese, Russian
• National of Hungary or in case of third country nationals, valid work permit for Hungary
