Internships
The IAEA accepts a limited number of interns each year. The internships are awarded to persons studying towards a university degree or who have recently received a degree (see Internship web pages for further details).
The purpose of the programme is\:
- To provide interns with the opportunity to gain practical work experience in line with their studies or interests, and expose them to the work of the IAEA and the United Nations as a whole;
- To benefit the IAEA's programmes through the assistance of qualified students specialized in various professional fields.
- The duration of an internship is normally not less than three months and not more than one year.
Organizational Setting
The Department of Management's Division of General Services (MTGS) provides support functions to the IAEA through its four Sections, namely the Archives and Records Section (ARMS), the Commissary Management Section (CMS), the Facilities Management and General Support Section (FMGSS) and the Seibersdorf Laboratories Services Section (SLSS).
The Facilities Management and General Support Section provides technical advice and has overall responsibility for the implementation of major facilities management projects, co-ordination of the IAEA's travel requirements in conjunction with the Agency's Travel Management Company and property management and logistics services for the IAEA. The Section comprises of three Units, namely the Facilities and Property Management Unit, Logistics Unit and Travel and General Support Unit. The Section also manages official shipments, household goods removals, IAEA official vehicles and drivers, the processing of duty travel visas and residency permits for staff, consultants and interns. The Section also provides housing services to IAEA staff and, as a courtesy, to other UN staff and members of the diplomatic corps in Vienna.
The Property Management Group (PMG) holds the responsibility of Asset management and Accountability. These responsibilities span Tangible Assets such as Property, Plant & Equipment as well as Intangibles such as Software. The team actions these deliverables throughout the Asset Lifecyle from Acquisition, Installation, Assignment till the asset is retired or disposed. These activities require constant surveying & monitoring (verification) uploading and document updating within the AIPS system and with the RFID to ensure all assets are up to date, as per the policy requirements.
Main Purpose
The main objective of the effort herein presented is to increase the effectiveness and efficiency of the operational and administrative services provided by the PMG to its stakeholders, whilst also unearthing the passion and hands on experience opportunities for those willing to work in a dynamic and multicultural international work environment.
Functions / Key Results Expected
- Assist with preparing accurate statistical reports on the Agency assets and conduct statistical analysis of data.
- Assist with preparing inventory information for the new assets in the Headquarters, Laboratories and Regional Offices in accordance with the Agency's standards for inventory.
- Assist with developing plans and conducting asset physical verification of the Agency fixed assets. Carry out physical inspections and verification of the Agency's assets at the IAEA Headquarters and Laboratories (Seibersdorf).
- Assist with drafting reports of the asset physical verification exercise.
- Assist with testing of the ORACLE-based property management system and RFID system used by the property management group.
- Support Building Services team with Heritage Asset and IAEA Room book updates. Any other assignment as may be required within the Facilities Management Unit.
Qualifications and Experience
- University degree in Mathematics, Accounting, Economics, Information Studies, Real Estate, Mechanical/Civil Engineering, Business Administration, or related discipline.
- Experience in Data and Information Analysis and Reporting.
- Good command of MS Office (Word, Excel, Outlook, PowerPoint).
Applicant Eligibility
- Candidates must be a minimum of 20 years of age and have completed at least three years of full-time studies at a university or equivalent institution towards the completion of a first degree.
- Candidates may apply up to one year after the completion of a bachelor's, master's or doctorate degree.
- Candidates must not have previously participated in the IAEA's internship programme.
- Good written and spoken English essential; fluency in any other IAEA official language (Arabic, Chinese, French, Spanish or Russian) an asset.
- Candidates must attach two signed letters of recommendation to their application.
