Our team and mission

This position is based at the European Space Research and Technology Centre (ESTEC) - Noordwijk, Netherlands

 

The Application Services Division (HIF-IA) is responsible for providing end-to-end IT services dedicated to establishing, developing, operating, maintaining, evolving and supporting corporate application solutions and services across the Agency. This role is performed by closely interacting with the owners of the business processes from design to operations and throughout its entire lifecycle via a product-oriented approach. The responsibilities include supporting the process owners in implementing the digitalisation of their processes through automation, process reengineering and change management. These responsibilities will be carried out by making use of common infrastructure and services.

Field(s) of activity for the internship

Topic of the internship: Information Management

 

You will support information management initiatives in ESA by: 
 

  • Contributing to the implementation of records management functionality in SharePoint Online (e.g. testing retention label configurations); 
  • Helping to design and test approval workflows to allow publication of documents into SharePoint Online; 
  • Formatting taxonomies for import as term-sets; 
  • Assisting with a pilot project to prepare digital records for long-term digital preservation, using AI tools to extract and verify required metadata; 
  • Providing support to document migration projects. 

 

As well as acquiring technical competencies in use of specific applications (e.g. SharePoint Online; AI tools; etc.), you will gain a broad knowledge of how IT tools can support organizational objectives concerning, inter alia, Records Management, Knowledge Management, Long-term Digital Preservation, Information Security and Personal Data Protection. 

 
By interacting with multiple stakeholders, you will learn how to interpret user requirements and how to communicate effectively in a multicultural environment.

Education

You must be a university student, preferably in your final or second-to-last year of a university course at Master’s level and you need to remain enrolled at your University for the entire duration of the internship.

Additional requirements

The working languages of the Agency are English and French. A good knowledge of one of these is required. Knowledge of another Member State language would be an asset.

 

  • Knowledge of and background in Information/Records Management;
  • Ability to work collaboratively in a multicultural team environment; 
  • Excellent communication skills;
  • Strong problem-solving skills and adaptability;
  • Preferable knowledge of standards concerning long-term digital preservation;  
  • Preferable knowledge of or experience in SharePoint Online; 
  • Preferable knowledge of or experience in Generative AI tools.
