Org. Setting and Reporting
The United Nations Joint Staff Pension Fund was established in 1949 by the United Nations General Assembly to provide retirement, death, disability, and related benefits for staff of the United Nations and other member organizations of the Fund. The Pension Fund pays benefits in 17 currencies to more than 80,000 beneficiaries who reside in 190 countries, and services more than 140,000 participants who work in the 24 member organizations of the Pension Fund. The Fund has offices in New York (United States) and Geneva (Switzerland) and two liaison offices in Nairobi (Kenya) and Bangkok (Thailand), respectively. The United Nations Joint Staff Pension Fund-Pension Administration (UNJSPF-PA) comprises about 250 staff from diverse countries and cultures, based across four prominent duty stations (New York, Geneva, Bangkok, and Nairobi). This position is based in New York and is located in the Human Resources Unit within the Business Support Section (BSS) of the United Nations Joint Staff Pension Fund-Pension Administration. The incumbent reports to the Human Resources Officer.
Responsibilities
• Perform a wide range of office support and administrative functions (e.g., schedule interviews, create folders, file recruitment documents and coordinate new staff introductions). • Draft responses to routine correspondence and other communications. • Research, compile and organize information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc. • Proofread documents and edit text for accuracy, grammar, punctuation and style, and for adherence to established standards for format. • Provide administrative and logistical support to meetings, committees, conferences, events, etc. • Assist in the maintenance of HR filing system by scanning, converting and filing a variety of documents onto the site. • Assist in the preparation of presentation materials using appropriate technology/software. • Maintain calendar/schedules; monitor changes and communicate relevant information to appropriate staff inside and outside the immediate work unit. • Perform data entry and extraction functions in spreadsheets. • Review, record, distribute and/or process mail and other documents; follow-up on impending actions. • Perform general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations, visa applications, etc.). • Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Perform other duties as assigned.

Work Experience
A minimum of three (3) years of progressively responsible experience in general office support or related area is required. The minimum years of relevant experience is reduced to one (1) year for candidates who possess a first-level degree or higher. Experience using Microsoft Office 365 or related applications, including Excel, is required. Experience in maintaining electronic file databases or related applications is desirable. One (1) year or more of experience in data analytics or related area is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.

Special Notice
This position is available for six (6) months. The selected candidate is expected to start as soon as possible. Please note that this is a temporary job opening, open to internal as well as external candidates. A staff member holding a temporary appointment shall be regarded as an external candidate when applying for other positions and may apply for other temporary positions at any level, subject to section 5.7 below and staff rule 4.16 (b) (ii). Therefore, a staff member holding a temporary appointment in the General Service or related categories may only apply to positions within those categories. Upon separation from service, including, but not limited to, expiration or termination of, or resignation from, a Fixed-term, Continuing, or Permanent appointment, a former staff member will be ineligible for re-employment on the basis of a temporary appointment for a period of 31 days following the separation. In the case of separation from service on retirement, a former staff member will be ineligible for re-employment for a period of three months following the separation. This equally applies, mutatis mutandis, with respect to a former or current staff member who has held or holds an appointment in another entity applying the United Nations Staff Regulations and Rules and who applies for a temporary position with the Secretariat. While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post. An external candidate selected for this position is bound by the prevailing condition of the staff selection system under ST/AI/2010/3, as amended, and ST/AI/2010/4/Rev.1. A staff member holding a temporary appointment who is recruited in the Professional and above categories on a temporary appointment and placed on a position authorized for one year or longer may not apply for or be reappointed to his/her current position within six months of the end of his/her current service. This provision does not apply to staff members holding temporary appointments and placed on positions authorized for one year or more in duty stations authorized for peacekeeping operations or special political missions.
