Overview

Jhpiego seeks an Administrative Assistant for the anticipated USAID Gambia Malaria Elimination Activity (GMEA). GMEA, a five-year, $13 million project, will provide support to the Gambia Ministry of Health (MoH) through the National Malaria Control Program (NMCP) to accelerate progress towards achieving malaria elimination in The Gambia. The GMEA Activity will provide implementation support and technical assistance on malaria case-based surveillance and response for elimination, support enhanced cross-border collaboration between The Gambia and Senegal particularly focused on data sharing and coordination of interventions, and strengthen the NMCP’s capacity to coordinate, manage and sustain malaria elimination and control approaches. Additionally, GMEA will optimize delivery of malaria services through community-based approaches to address remaining gaps in intervention coverage or quality for achieving elimination.

The Administrative Assistant will provide general support to Gambia Project Office. This includes performing office duties as required. The role will be to set up office/program meetings, answer the phone and track necessary supplies. The Administrative Assistant is expected to be flexible as the staff may be expected to provide training and provide logistical support for visitors.

 

This position is contingent upon donor award and is for Gambian nationals only.

Responsibilities

  • Answer phone and receive visitors in reception area
  • Collect and deliver mail/documents for the office as assigned 
  • Photocopy and bind documents as required
  • Organize office filing, collect newspapers to ensure the office is clean and tidy
  • Assist the OPs & Procurement Officer with receiving and dispatching goods 
  • Replenish paper in all printers/copiers and continue to monitor throughout the workday to ensure office does not run out
  • Ensure efficient supply of purified water in all dispensers, monitor stock throughout the workday
  • Assist in preparation of meetings rooms/areas and ensure they are clean after use
  • Ensure that tea/water/coffee are served during meetings
  • Ensure that all equipment (e.g., printer/copiers, ACs) is switched off at the end of each workday.
  • Ensure office kitchen/cafeteria remains clean
  • Supervise/facilitate the office cleaning vendor to ensure cleanliness
  • Carry out any other duties assigned from time to time.

Required Qualifications

  • Minimum high school education
  • Excellent organizational skills
  • Good knowledge of Microsoft office suite of programs
  • Minimum of two years of experience working in an office setting
  • A broad variety of front desk, office maintenance and computer skills
  • Self-motivated and proactive with a positive attitude to work requiring minimum supervision.
  • Cooperative, hardworking, flexible & dependable.
  • Ability to communicate effectively, instilling trust and confidence.
  • Excellent interpersonal and communication skills. 
  • Excellent English language skills both written and spoken
  • Willingness to take on extra responsibilities to achieve the goals/objectives set by the organization.
