Terms of Reference

General information :

Through its mandate, the UNHCR is committed to ensuring that the human rights of refugees are respected, that uprooted people are able to exercise their right to seek asylum in another country and that no refugee is forced to return to a country where he/she has to fear persecution or other serious violations of their human rights. The UNHCR also works for the protection of stateless people and provides assistance to internally displaced persons, i.e. people forced to move within the borders of their own country.
In addition to international protection, the UNHCR's second core mission is to find durable solutions to refugee problems. We support refugees and internally displaced people in their efforts to rebuild their lives in safety and dignity. If the conditions are right, many of them prefer to return voluntarily to their country of origin. However, if return is not possible, the UNHCR supports them through integration measures in the country of first asylum. For a small proportion of particularly vulnerable refugees, who cannot obtain durable protection in a first country of asylum, there are possibilities for resettlement in third countries.

Background and purpose of the Internship:

The purpose of record keeping is to support the day-to-day work, ensuring that Supply documents, whatever their form and medium, are protected and accessible to those who need them and have the right to access them.
In addition to archiving, the 2 interns will be able to support the Supply Section by receiving materials from the AIRD warehouse in Gasi and the UNHCR N'Djamena office and electronically filing these documents directly into the OneDrive.

Each Supply N'Djamena staff member is responsible for managing the documents under his or her jurisdiction. Record keeping is an essential activity for the Chad operation and the sharing and accessibility of official documents constitutes institutional memory. The Supply N'Djamena Section would like to set up an electronic archiving system for the documents that have been stored in the archive room since the Office moved from Sabangali to Moursal. This will also make it possible to achieve this archiving in all of Chad's field offices.

The purpose of record keeping is to support day-to-day work, by ensuring that documents, whatever their form and medium, are protected and accessible to those who need them and have a right of access to them.

To ensure compliant and effective record keeping, the Supply Section is required to put in place procedures and implement a document management system for both paper and electronic documents.

Improved accountability - full and accessible information to respond to evaluations, inspections, audits and donor queries.

Mitigation of security risks and loss of information - information will be shared, stored and accessed in a secure and protected manner.

Corporate memory - key information is identified, protected and accessible.

Minimum qualifications required:

- Chadian nationality or valid work permit.
- Excellent research and analytical skills.
- Excellent interpersonal and communication skills.
- Perfect command of IT tools (Excel, Powerpoint, Ms Office and people soft);
- Fluency in French.
- Good writing and analytical skills.

Desirable skills:

- Be selective and have a good ability to summarize in order to produce quality work.
- Excellent writing skills.
- Be meticulous, methodical, and conscientious when carrying out tasks.
- Excellent knowledge of French (spoken and written).
- Good knowledge of English would be an asset.

Eligibility requirements:

To be eligible for an internship, the following criteria must be met:
1. Be a recent graduate or still pursuing higher education studies at a university or higher education institution accredited by UNESCO. Young graduates should be considered as having completed their studies in the year preceding their application for an internship with the UNHCR.
2. Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of the Organization.

Other information:
- A person whose father, mother, son, daughter, brother, or sister is an official of the UNHCR, including if he or she holds a temporary appointment or is an affiliated staff member, is not eligible for an internship.
- An Internship Agreement carries no prospect, legal or otherwise, of renewal or conversion to an employment contract under the United Nations Staff Regulations.
