Mission and objectives

Context

This UNV assignment is part of the UNICEF Afghanistan Country Office (ACO) administration team. Under the supervision of Administrative Associate 21378 GS6 FT (IB), the post holder (PBR22-01) will perform registry functions for the ACO.

Task description

Within the delegated authority and under the supervision of the Administration Officer (NOA, Post # 121749) or his/her designated mandated representative(s), the UNV Admin Associate – Facilities Management will:
• Assist in managing of guesthouse bookings through Humanitarian Booking Hub.
• Assist Administrative Guesthouse Facilities Management in the provision of timely, efficient, and appropriate delivery of accommodation related administrative services and upkeep of the accommodation facilities.
• Assist in the day-to-day arrangement of cleaning services for the guesthouses.
• Assist in maintenance and repair of guesthouses, furniture, fixtures, and equipment.
• Assist in preparing of invoice for guesthouses.
• Record keeping of expenditures related to the maintenance guesthouses and the items procured for guesthouses.
• Assist in follow-up on the preventive and maintenance arrangements for guesthouses with operators and with contractors.
• Assist and maintains records and files pertaining to Admin. Prepares list of old records/files for disposal.
• Assist in the safekeeping of non-expendable office/guesthouse property and participates in physical inventory.
• Assist and monitor contract implementation, validity, and adherence to the provision of the contracts related to guesthouses.
• Assist and ensure the provision of guesthouse supplies and services and maintain stock of all guesthouse supplies and timely replenishment.
• Prepare the report of monthly consumption of guesthouse supplies.
• Review/update contractual status of ancillary services etc. guesthouse related area.
• Back up for Admin. Assistant (GS-5) when required.
• Any other duties assigned by supervisor(s).

Furthermore, UN Volunteers are encouraged to integrate the UN Volunteers programme mandate within their assignment and promote voluntary action through engagement with communities in the course of their work. As such, UN Volunteers should dedicate a part of their working time to some of the following suggested activities:

• Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and taking an active part in UNV activities (for instance in events that mark International Volunteer Day).
• Be acquainted with and build on traditional and/or local forms of volunteerism in the host country.
• Provide annual and end-of-assignment self-reports on UN Volunteer actions, results, and opportunities.
• Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.
• Assist with the UNV Buddy Programme for newly arrived UN Volunteers.
• Promote or advise local groups in the use of online volunteering or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible.
