The Office of the Secretary-General (OSG) supports the Secretary-General in implementing his vision and priorities for the Organisation to:

  • Optimising the strength and the quality of the post COVID recovery while responding to the economic and social impacts of the war in Ukraine.
  • Leadership on climate action to help secure global net-zero by 2050 in a way that is effective and fair.
  • Seizing the opportunities of the digital transformation while better managing some of the associated risks, challenges and disruptions.
  • Helping to ensure well-functioning global markets and a global level playing field with a rules-based trading system in good working order.
  • Global engagement: advancing OECD standards, through membership and partnerships and a sound approach to development.

We provide high quality advice and support to the Secretary-General to achieve a coordinated and innovative approach to the development and implementation of the OECD’s work. We do this by forming timely and well-founded advice, consulting and coordinating with Members, with Deputy Secretaries, and across Directorates, and fostering a high functioning organisation.

We are seeking a motivated and experienced Personal Assistant who thrives on good process and exceptional attention to detail. S/he should be a high-performing individual who is capable of ensuring an unfailingly accurate and consistent standard of work and high level of discretion to ensure the smooth functioning of the Chief and Deputy Chief of Staff’s Office. S/he will also work closely with the Personal Assistants to the Secretary General and the other members of the Office of the Secretary-General.

Job Description

Main responsibilities

  • Support the Chief and Deputy Chief of Staff’s office with daily work and organisation of appointments, internal meetings, missions and other activities.
  • Manage the flow of information to the Office and provide key information on a wide range of issues on external and internal developments, relating to both the substantive outputs as well as organisational matters. Flag priority and sensitive issues.
  • Organise and support business travel preparations including: travel and hotel bookings, visa applications, processing expense claims and follow-up actions in close collaboration with the mission’s team and the advisor in charge.
  • Handle senior level contacts with the offices of OECD Directors and Ambassadors, as well as with senior politicians and other high-level key stakeholders. Forge strong internal and external relationships and networks in order to facilitate these contacts.
  • Provide the full range of administrative assistance including; organising folders, reservations, diary management, handling mail, drafting and sending routine correspondence and letters and printing documentation, filtering and responding to telephone calls and tracking requests and projects to ensure that deadlines are respected.
  • Work closely with the Personal Assistants to the Secretary-General and the Office of the Secretary-General team to provide assistance and carry out other administrative tasks as required.

Qualifications

Ideal Candidate Profile

Academic Background

  • A higher education degree and/or Secretarial studies qualification.

Professional Background

  • A minimum of three years’ relevant experience in executive or administrative assistance roles, preferably in an international organisation.
  • Excellent knowledge of the Organisation’s administrative and meeting protocol and procedures, or relevant experience acquired in other international organisations.
  • Knowledge of current and emerging technologies and tools and a demonstrated ability to thrive and innovate in a technology-driven environment.
  • Experience managing conflicting requests according to strict deadlines and ability to work independently, rapidly and accurately under pressure.

High degree of discretion and ability to work and communicate effectively and with tact and diplomacy in a multicultural environment with colleagues at all levels, and with delegations and high-level stakeholders

Tools

  • Excellent knowledge and experience in MS Office Suite (Word, Excel, Outlook, PowerPoint) and in software and applications used in the OECD (OLIS, Authoring Environment, EMS/CRMS, SAP, PRISM, SRP, SRM).

Languages

  • Fluency in one of the two OECD official languages (English and French) and knowledge of the other, with a commitment to reach a good working level.
  • Knowledge of other languages would be an asset.

Additional Information

Contract Duration 

  • Two-year fixed term appointment, with the possibility of renewal. 
  • Ideal start date: December 2024
