Mission and objectives

Therefore, the focus on equity is so vital. It accelerates progress towards realizing the human rights of all children, which is the universal mandate of UNICEF, as outlined by the Convention on the Rights of the Child, while also supporting the equitable development of nations.

Context

Under the supervision and guidance of the supervisor, the Operations Assistant is responsible for executing a broad variety of routine tasks with special emphasis on digital filing and audit preparation and some specialized for the respective section, requiring thorough knowledge of UNICEF administrative procedures, processes, and policies.

Task description

Support to various functions of the Operations for UNICEF Papua New Guinea. The support is to include the following duties and responsibilities:

• Prepare and maintain organizational records and files, ensuring all the information is up-to-date and accurate.
• Support in audit preparation and digitalization of files.
• Prepare and circulate internal and external advertisements for recruitments.
• Grant support at the various stages of the recruitment process as needed.
• Support in collecting references and academic verifications.
• Assist the Office in organizing meetings, courses, workshops and events of various duration and scale; prepare
and distribute the event materials, search for suitable venues and make reservations for events. Prepare and
maintain the related agendas.

• Take minutes of meetings, ensuring accuracy, attention to detail and coherence.
• Technical Support to consultants (with invoices and documentation).
• Support the Office with transportation process, i.e. transportation needs, availability of drivers and means
of transportation. Timely communicate the arrangements and any changes to requestors.
