Executive Assistant to the Director

Purpose

Provide assistance to the Director in the management of all administrative tasks. Serve as the primary point of contact for all internal and external administrative matters pertaining to the office of the Director with the ability to maintain a realistic balance amongst multiple priorities.

Key Responsibilities

  1. Perform administrative duties for the Director, including managing his calendar, planning of meetings, prepare correspondence and presentations, drafting minutes of meetings, and administrating the GICHD info mailbox.
  2. Coordinate travel arrangements for the Director, including hotel accommodations, invitations, agenda, visa applications and provide logistical support to the Director during his business travels, as needed, in cooperation with the Conference Team.
  3. Complete and submit expense reports and reconcile the corporate credit card statements for the Director.
  4. Support the organization and logistics of GICHD governance meetings (Council of Foundation, Bureau and Advisory Board), including setting up the venue and welcoming participants.
  5. Oversee the various internal workflows and prepare related documents for the Director. Ensure diligent management of contracts and agreements to be approved by the Director.
  6. Support internal communications, including managing the weekly Circle News, organizing the GICHD picture library and supporting other communication needs (social media posts and website).
  7. Provide support to the Conference Team, by being the focal point for the monthly Diversity and Inclusion breakfast, as well as supporting the organization of conferences, workshops and retreats, as needed.
  8. Provide administrative support to the General Counsel, as required.

Qualification and professional experience

  • Commercial maturity or equivalent diploma.
  • Proven experience in managing a variety of administrative tasks, travel arrangements as well as providing support to senior management.
  • Minimum of 5 years of relevant work experience in an international organization or private sector organization.

Knowledge and skills

  • Fluency in English, both written and oral.
  • Knowledge of French and/or fluency in an any other language spoken in affected countries is an advantage.
  • Excellent computer literacy skills, proficient user of MS Office applications.
  • Ability to work in a methodical, structured, rigorous and autonomous way with strong attention to detail.
  • Service-oriented attitude and inter-personal communication skills enabling effective relationships with colleagues, internal clients and other stakeholders from diverse cultures.
  • Ability to work in multi-cultural settings with a wide range of stakeholders.

Salary Information

Please note that the salary level for this role is CHF 85'504 yearly gross, subject to social security deductions and income tax.
