Job Description

Working under the overall direction of the Senior Resources Management Officer (SRMO) in Doha, Qatar and the direct supervision of the Administrative Officer (Staff Support), the intern will assist with the operational activities of the Mission within the Administrative Unit.

Objective of the internship: to provide students and recent graduates from diverse academic backgrounds with exposure to emergency, transition and recovery issues and a first-hand impression of the day-to-day working environment of IOM.

Responsibilities

Functions / Key Results Expected:

The intern will assist within the Admin Unit as follows:

  • Assist in preparing Staff Visas and Qatari IDs (QID) applications and renewals for IOM staff members and their dependents, including staff on TDY/STA, in accordance with the existing Standard Operating Procedures (SOPs) and ensuring proper maintenance of the records. 
  • Assist in preparation of documents related to conversion of staff driving licenses and clearance of shipments.
  • Assist in photocopying and scanning of documents for e-filing including downloading of all newly issued visas from the portal, sharing with Admin team and ensuring proper maintenance of the database for all personnel on SharePoint.
  • Coordinate with other RMU units, as necessary, to facilitate smooth operation of the Admin Unit.
  • Attend internal meetings related to operational areas of IOM’s activities.
  • Perform such other duties as may be assigned.

Deliverables:

  • Up-to-date and maintained internal tracking system;
  • Streamlined filing system for Admin processes;

Efficient coordination between the other RMU Units and Admin Unit.

Qualifications

The candidate should:

  1. Be enrolled in the final academic year of Bachelor’s / Master`s level or equivalent.
  2. be enrolled in a graduate school programme (second university degree or equivalent, or higher);
  3. or have graduated with a university degree (not later than 1 year ago). 

 

  • Technical mastery of the following software programs: MS Word, Outlook, Excel, PowerPoint.
  • Excellent Communication skills
  • Ability to handle routine and repetitive tasks
  • Good organisational skills
  • Flexibility and ability to work under pressure
  • Ability to work effectively and harmoniously with colleagues within a team from varied cultures and professional backgrounds
